Position Overview:

We are seeking a highly organized and proactive Secretary to support our CEO. This role requires someone who is comfortable with frequent overseas travel and is fluent in Mandarin. The ideal candidate will be detail-oriented, have excellent communication skills, and be able to manage multiple tasks effectively in a fast-paced startup environment.

Key Responsibilities:

  1. Provide administrative support to the CEO, including managing schedules, coordinating meetings, and handling correspondence.
  2. Prepare reports, presentations, and other documents as needed.
  3. Facilitate communication with international partners and clients, ensuring timely and clear interactions in both English and Mandarin.
  4. Coordinate travel arrangements, including flights, accommodations, and itineraries for both domestic and international trips.
  5. Assist in the preparation for meetings, including gathering relevant materials and taking minutes.
  6. Maintain confidentiality and exercise discretion in handling sensitive information.
  7. Support special projects and initiatives as assigned by the CEO.

Qualifications:

  1. Fluent in Mandarin and English, with excellent verbal and written communication skills.
  2. Proven experience in an administrative or executive support role, preferably within a startup or travel-related industry.
  3. Strong organizational skills and the ability to prioritize tasks effectively.
  4. Comfortable with frequent overseas travel, including flexibility in travel schedules.
  5. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software tools.
  6. Exceptional attention to detail and a proactive approach to problem-solving.
