Job description

Job Purpose

You will assist the Group Chief Risk Officer in the execution of the duties and responsibilities in the Group Risk Management Division. In addition, provide support in administrative areas to the division besides secretarial duties.


The Job

  • Provide administrative and secretarial support including managing the calendar schedules, maintaining accurate records, and providing timely reminders on the schedules;
  • Taking minutes for monthly division meetings for the leaders;
  • Keeping track of division weekly manpower roster including weekly Safe Management Officer as part of safe management practices;
  • Upload Management Committee materials to conference platform and help buy refreshments for Directors;
  • Set up and maintain document filing system;
  • Manage office supplies inventory;
  • Procurement for stationery, courier services, new laptops, and office equipment when required;
  • Periodically follow up on system access rights and coordinate with User ID management /Group IT;
  • Prepare and submit expense claims relating to transport, business entertainment, etc.;
  • Coordinate travel-related logistics, i.e. flight and hotel bookings, airport transfers, travel itineraries, and visa applications when traveling is required;
  • Assist in consolidating templates for department man hour charges on a yearly basis;
  • Assist in consolidating templates for department budget and accruals on a yearly basis;
  • Take accountability in considering business and regulatory compliance risks and take appropriate steps to mitigate the risks in own area of work;
  • Maintain awareness of industry trends on regulatory compliance, emerging threats, and appropriate steps to mitigate the risks;
  • Highlight any potential concerns/risks and proactively share best risk management practices;
  • Perform additional duties and responsibilities as assigned;
  • Provide administrative support to Division as required.

Our Requirements

  • Diploma in Private Secretarial & Administration or equivalent qualifications;
  • Minimum 5 years of relevant working experience, providing secretarial support to Senior Management;
  • Excellent communication ability, both oral and written;
  • Strong interpersonal skills;
  • Attention to detail while maintaining a clear overview of key issues;
  • Ability to work independently and multi-task;
  • Goal-oriented and resourceful;
  • Possess a can-do attitude with a collaborative mindset;
  • Independent worker, good communication skills, proficient in Microsoft Office applications (MS Word, Excel, PowerPoint), resourceful, team player;
  • High level of integrity, takes accountability of work and good attitude over teamwork;
  • Takes initiative to improve current state of things and adaptable to embrace new changes.
