Job description

The SCS & Indirect Procurement Manager role is to lead and motivate a team of Supply Chain Services (SCS) Customer Care to ensure that team members provide superior, prompt, courteous and efficient services to customers; as well as to achieve a high level of customer satisfaction. The Manager must be familiar with company products/services and policies and be able to communicate this well to the team members. The role involves developing standard work procedures within the team, monitoring team productivity and work quality, and fostering good workplace relationships with the Business team.

Responsibilities and Duties

CUSTOMER CARE (SCS)

  • Manage the daily activities in the Supply Chain Service Customer Care team; ensuring customer inquiries are reviewed and analyzed to meet company requirements. Ensure all daily orders and instructions are fulfilled accurately and timely.
  • Ensure all customer complaints and unplanned events are handled appropriately and aligned with Regulatory & QSHE's policies. Ensure action plans are implemented with high resolution effectiveness.
  • Identify roadblocks and address urgent operational matters encountered by the Customer Care team, initiating practical measures and resolutions to enhance overall functional processes and performance quality.
  • Drive continuous improvement projects that enhance processes in managing/fulfillment, delivery, service quality, value-added services, and cost optimization.
  • Ensure all Inbound and Outbound permits are declared correctly and timely, adhering to Singapore Customs guidelines.
  • Manage staff recruitment, OJT training, staff development, provide counseling and mentorship, team bonding, and conduct periodic performance assessments and half-yearly appraisals.
  • Take ownership of the respective SOPs and WIs; review and revise documents accordingly.
  • Ensure customers' KPI reports are updated accurately and timely.
  • Participate in Monthly Management Meetings, updating on SCS Monthly Performance KPI, results or status of cost savings or project implementation, and other matters.
  • Recommend systems improvement measures to management.
  • Internal communication on management systems matters.
  • Implement management systems procedures.
  • Assist RA leader in conducting risk assessments to identify hazards and implement effective risk control measures.
  • Ensure adequate safety measures are taken for any machinery, equipment, or processes used at the workplace.
  • Follow the company's procedures, safety rules, and measures stated in the WSH Risk Assessment.
  • Participate in protecting the environment, preventing pollution, complying with applicable requirements as identified in policy statements, and promoting sustainable practices.
  • Ensure staff with significant environmental impact work duties are competent, based on appropriate training, instruction, or experience.
  • Other duties as assigned.

INDIRECT PROCUREMENT

  • Train local colleagues to ensure strict adherence to the Global Indirect Procurement Policy (GIPP); train new employees on time; conduct refresher training as needed.
  • Communicate and implement locally all global and regional policies, guidelines, and processes.
  • Update the Regional Indirect Procurement (IPR) team on the execution status of all IPR projects; perform monthly reporting on time as required.
  • Be the measure owner for your organization's IPR projects in the global savings tracking tool CAT4.
  • Champion IPR initiatives and help remove roadblocks when needed.

Authority

  • First level approval of Purchase PO for IPR. Approval of leave applications for immediate staff.
  • Approval of claims for immediate staff based on policies.
  • Performance review for immediate staff and recommendation for promotion.
  • Counseling and disciplinary action, including termination/dismissal (in consultation with immediate superior and HR).
  • Interview and Selection.
  • Offer of employment (review with HR) to Executive Level and below.

Knowledge and Skills Requirement

  • Diploma or Degree holder.
  • At least 10 years of experience in customer service or a related field.
  • Ability to lead and supervise team members and work under tight deadlines.
  • Good personality and excellent verbal and written communication skills.
  • Professional communicator who can motivate and encourage team members to perform well.
  • Excellent problem-solving skills and diplomacy in complex issues.
  • Reacts well under pressure, especially amid organizational changes.
  • Able to analyze data and recommend solutions for improvement.
  • Supervising and delegating work to subordinates and evaluating their performance.
  • Proficiency in Microsoft Office.
