We are seeking a professional Receptionist / Junior Secretary to manage our front desk and to perform a variety of administrative and clerical tasks. As the face of our Singapore office, you will play an essential role in creating a lasting impression with our clients.
What you will do:
Receptionist
Greeting and receiving clients/visitors
Facilitate booking of meeting rooms and visitor desks
Answer, screen and transfer of telephone calls
Provide clerical and administrative duties
Assist with uploading of invoices and maintaining proper records
Facilities management, liaising with building management/landlord
Maintaining contracts with vendors
Maintaining front of house, liaising with facility cleaners
Incoming and outgoing mails/parcels
Assist with Events and catering
Fire Warden / First-Aid Trained
Junior Secretary
Travel arrangements, booking of flights/hotels, etc.
Manage schedules, appointments, and meetings for the team
Assist with record of billable time
Assist with lawyers’ expense reimbursements
Assist with ACRA and e-litigation searches
Assist with word processing and legal documentation
Who you are:
Strong administrative and organizational skills with proficiency in Microsoft Office Suite
Excellent communication and interpersonal skills, with the ability to collaborate across teams and management levels
Highly resourceful, detail-oriented, and capable of handling multiple responsibilities efficiently
Demonstrates a high level of professionalism, discretion, and confidentiality
Possess GCE A Levels, Polytechnic Diploma or equivalent
Relevant working experience in professional services and/or customer service experience is highly desirable.
