Overall responsible for managing the reception and administration duties. She/he will represent the “face” of the company for all visitors and as such will be responsible for the first impression. Receptionists handle a variety of administrative support tasks, including answering phones, receiving visitors, preparing meeting and training rooms, sorting and distributing mail, and making travel plans.
Responsibilities
Greet and welcome visitors, clients, and employees in a professional and friendly manner
Manage incoming calls, route them appropriately and take detailed messages as needed
Handle general enquiries and provide accurate information regarding the organization
Maintain the reception area, always ensuring it is tidy and presentable
Schedule appointments and maintain meeting room bookings
Manage office supplies, inventory, and place orders when needed
Coordinate office maintenance and repairs with vendors
Handle incoming mails, courier services, and deliveries
Maintain and update office records, files, databases, phone lists, etc.
Assist in organizing company events, recreation and welfare, and travel arrangements
Process HR and admin invoices, reimbursements, and other administrative expenses
Manage employee medical leave certificates
Education
Diploma in Business Administration or equivalent
Skills, Knowledge, and Relevant Experience
Minimum 3 years of progressive experience as a receptionist and office administration in a sizeable company in a consumer or engineering industry
Pleasant, eloquent with excellent communication skills
Team player
Customer service orientation with a professional demeanor
Able to multi-task
Fast worker
Preference for Singaporeans or Permanent Residents or Long Term Social Visit Pass or Dependent Pass holders only.
