Job Description
Handle all telephone calls and messages in a timely and professional manner and direct them to the respective department.
Update telephone list, activate voice recording on the eve of public holidays and deactivate on the next business day.
Attend to all guests in a prompt, friendly, and professional manner; ensure all incoming mails are date and time stamped.
Mail franking and request top-up if credit is low; ensure proper record of franked mails in daily spreadsheet; sort and distribute incoming mails.
Arrange for courier services and manage expectations; record local couriers and DHL invoices and verify against monthly invoice.
Assist in room bookings; ensure that meeting room schedule is managed to minimize “no-show“ and/or double bookings; assist with meeting room lighting, blinds, and video conferencing/speaker, seeking IT assistance if necessary.
Ensure air-conditioning in the Boardroom is turned off on the eve of public holidays.
Manage flight and hotel arrangements for the Support & Operations division, including travel and expenses claims, in accordance with corporate travel procedures for COO & CIO.
Visa application where applicable for COO & CIO.
Assist HR staff relocations (e.g., air tickets).
Maintain inventory and requisition of pantry, stationery, and office supplies as necessary.
Coordinate with vendors for office equipment and facilities maintenance.
Job Requirement
Diploma in any discipline.
At least 2 to 3 years of relevant experience in FI/Banking background preferred.
Excellent time management and organizational skills.
Experience as an office assistant, office administrator, or in another relevant position.
Ability to communicate in person, in writing, and over the phone.
