Key Responsibilities:

  1. Deliver high quality property management services.
  2. Manage the day to day operational activities, ensuring all health and safety, environmental and company procedures, related general legislation and client/tenant requirements.
  3. Manage the fire protection and security systems.
  4. Ensure budget and costs are adhered to and provide excellent customer service standards.
  5. Ensure the external and internal of the building is well maintained and serviced to a high standard in accordance with the management contract and agreed budgets.
  6. Achievement of all key performance indicators reference those set by the client and the company.
  7. Assist with drafting, monitoring and reporting of the budget and expenditure.
  8. Carry out regular inspection audits of the site.
  9. Ensure all health and safety audits carried out in accordance with the planned programme and all follow up actions carried out within due timetable.
  10. Maintain and further develop excellent tenant relationships and attend tenant meetings as applicable.
  11. Ensure fire and other evacuations are carried out on a regular basis in accordance with the health and safety requirements.
  12. Liaise with the local authorities as appropriate.
  13. Oversee and manage major work programmes on site, acting as the liaison point for all parties involved, including on site and external contractors.
  14. Produce management reports in accordance with the needs of the business, as applicable.
  15. Ensure all on site personnel are trained in accordance with the needs of their roles. This includes carrying out regular reviews and set timetable for appraisals as applicable.
  16. Oversee and regularly review the work carried out by contractors to ensure the required standards achieved and maintained in accordance with the contractual agreement.
  17. Monitor, direct and ensure that all contracted work comply with specifications and statutory requirement, include and initiating actions against defaulting contractors.
  18. Conduct regular inspections of all common areas, public walkways, external facade, etc. and institute remedial action including following up on outstanding works.
  19. Creating and maintaining good rapport with tenants/occupiers and attending to their complaints.
  20. Preparation of estimates for repairs work, work specifications, invitation for quotations, and supervision of work carried out.
  21. Responsible for the efficient control of all tools and machinery, equipment etc including building stocks.
  22. Preparation of all necessary maintenance reports accurately and on time.
  23. General administration of all building works/service contracts, carpark management, fire safety and security.
