Job description

Responsibilities

  1. Attend Council Meetings and Annual General Meetings
  2. Handle operations duty in property management and asset management experiences
  3. Able to handle multiple portfolio projects
  4. Able to oversee and ensure the smooth operations and effective management of the building/estate
  5. Lead and supervise administrative staff and contractors providing maintenance, security, fire safety and carpark management
  6. Effective maintenance fund collection
  7. Activity sharing preventive maintenance programs
  8. Ensure competitive tendering of purchase and service contracts
  9. Assist in insurance claims for any damages to common property if required
  10. Competent control of expenses
  11. Recommend budget for each year to determine the amounts to be collected for the Maintenance and Sinking Fund
  12. Ensure compliance with warranties & guarantees
  13. Ensure a satisfactory level of security, cleanliness and housekeeping
  14. Prepare minutes of Council Meetings and Minutes of AGM
  15. Review all outgoing correspondence and minutes of meetings
  16. Prepare AGM documents
  17. Ensure compliance with divisional policies
  18. Plan and carry out preventive building maintenance works for common facilities and properties
  19. Ensure all resident complaints are attended to promptly and efficiently and monies collected are handed to the Accounts Department immediately
  20. Place orders for building maintenance materials and keep track of their issuance as required
  21. Plan duty roster, affecting replacement and covering of duties for all site staff
  22. Day to day supervision of the site management staff
  23. Oversee the security of the building and keep tenants informed of the emergency procedure
  24. Oversee the administration of maintenance contracts
  25. Prepare all tender documents, agreements, contracts and other legal documents
  26. Evaluate property for insurance purposes and recommend the sum insured for various policies
  27. Review all contracts, agreements and insurance 2 months before their expiry and recommend renewal or call for quotation/tender
  28. Arrange for the annual audit of accounts
  29. Advise Council if expenditure is within the budget approved at General Meetings/Monthly financial accounts/revision of the monthly statement
  30. Able to handle night meetings and weekend meetings
  31. Recommend an annual salary adjustment

  9. At least 10 years of relevant experience in the property management industry required
