Plan, arrange and monitor all access arrangements and works through to fulfilment (i.e., manpower, tools and equipment in coordination with Construction Manager).
Work with PM/CM to arrange and organise contractors, permits, and other special arrangements as needed.
Work with PM/CM to maintain programme, scope, materials, and other job templates.
Assist in developing a comprehensive workflow/resource process for the project.
Work with the planner to update the current project schedule.
Participate in Project Team Meetings.
Maintain Project Coordination Calendars.
Ensure coordination of the interfaces of the Project with SMRT combined programme of works, Outside Contractors, Material suppliers, and In-house Operations.
Prepare and/or edit meeting minutes, presentations, and tables.
Liaise with all contractors to collate, disseminate, and identify opportunities for betterment of the project programme and logistics.
Monitor coordination and logistics to ensure adherence to deadlines.
Coordinate with Document Controller to ensure proper project documentation (hard and soft copies).
Ensure coordination of the project activities against the Client overall programme of works.
Identify, record and track project changes and produce updated site-based schedules as agreed with project management.
Develop and maintain the detailed schedule and report on the effect of any changes.
Work with the project team to understand and assist with tracking all work, task, and project assignments.
Maintain good communication with project work teams and outside contractors to assure timely and efficient completion of jobs, proper communication of issues, and proper documentation of the entire process at each job site/activity.
Monitor and modify project schedule as assigned.
Work with Document Controller to maintain document control and database management. Work with planner to track project activities and team performance.
Assist project team and team lead in strategic meetings and follow up with meeting notes.
Schedule project follow-up meetings as needed.
Work with Planner to develop and review project status and reports.
Process project schedules and reports to ensure we are exceeding all appropriate client needs and expectations.
Manage outside contractors for specific sites and project requirements (LEW 9), including coordinating with procurement for planning, assigning work orders, sending scope, and monitoring performance to assure successful completion and proper billing.
Requirements:
Diploma/Bachelor’s degree in Civil Engineering or equivalent in engineering field.
Knowledge in Microsoft Project/Primavera preferred.
At least 2 years of experience in a similar role and/or projects-related role.
Demonstrated experience in personnel management.
Familiarity with project management software Primavera and AutoCAD.
Experience working both independently and in a team-oriented, collaborative environment.
Experience in creating agendas, minutes, correspondence, documentation, and presentations.
Technically competent with various software programs, such as Word, Excel, PowerPoint, etc.
Can conform to shifting priorities, demands, and timelines through analytical and problem-solving capabilities.
Identifies effects and reacts to project adjustments and alterations promptly and efficiently.
