Job description

Roles & Responsibilities

  • Input and establish up to date cost data in procurement related tools and applications.
  • Identify and track market trends, new and emerging technologies relevant to the data center industry and provide regular updates to the team.
  • Monitor and manage the cost database to ensure that progress is constant.
  • Determine price forecasts for budget cycles and build up cost for high level estimates.
  • Guide the procurement function in their vendor sourcing process and ensure vendor pre-qualification and registration processes are handled according to ISO standards.
  • Work with PCM management and internal stakeholders to maintain and improve the vendor management and performance evaluation process.
  • As lead to the Procurement Team, track and manage their workload and propose to PCM management for deployment and assignment of new tender/project requests.
  • Monitor the Procurement function to ensure the tender process is implemented according to Procurement Principles and Practices as defined by the Organisation.
  • Work with PCM Manager to provide regular updates to PCM head on each tender/project process.
  • Support Procurement function in their liaison with internal stakeholders during the tender process.
  • Review tender timelines and documents to ensure they are in accordance with procurement needs before the team issues RFQs (PCM Manager as secondary reviewer).
  • Oversee the vendor pre-qualification process and review the outcome for vendor selection.
  • Contribute to the finalization of the vendor selection list for RFQ (Approval of final vendor list is subject to joint review from Sales, Projects, Finance, PCM, and Higher Management).
  • Review and check consolidated commercial, technical, and project evaluations for accuracy and fairness.
  • Support Procurement team in negotiations with vendors for competitive pricing and terms and conditions favorable to the company.
  • Review and support presentations to internal stakeholders for shortlist and/or Tender Committee Team for award.
  • Review and check LOA, Contracts, and POs to ensure they are as per approved cost and conditions.
  • Ensure all procurement-related documentation and contracts are maintained and stored appropriately according to ISO standards.
  • Support Sales team in Excom Approval and tender compilation to customers.
  • Support Sales team in customer negotiations if required.
  • Ensure maintenance of accurate records of purchases, including vendor contracts and vendor purchase orders in the system.
  • Attend weekly Project Operation Meetings and provide updates on project procurement status.
  • Support Projects team to verify vendor base contracts against variation items.
  • Support Sales team to hand over contract DLP and maintenance to Operations team.
  • Manage relationships with organizational network and external vendors for procurement.
  • Be open and support the use of technologies and electronic tools in procurement, vendor, and cost management platforms.
  • Formulate standard contract templates and conditions for general use when such are unavailable from the customer.
  • Assess and measure potential risks’ exposures (supply, financial, image/reputation) and establish contingency plans to prevent and/or mitigate their impacts according to risk management strategies defined by Procurement functions.
  • Work with PCM Management to identify feasibility of long-term contracts with suppliers to ensure optimum cost and reliable supply.
  • Work with PCM Management to develop and implement procurement policies and procedures to ensure commercial and regulatory compliance.
  • Monitor compliance with the organisation's procurement targets, with relevance to each Project Procurement’s KPI.
  • Monitor internal stakeholders and vendor (external) compliance with Procurement Principles & Practices as defined by the Organisation. Work with PCM Manager to review the effectiveness of work processes and procedures and plan for improvement activities and performance improvement strategies.

Requirements

  • Proven track record of developing and implementing procurement strategies.
  • Proven leadership and team management abilities.
  • Demonstrates in-depth knowledge of procurement processes and best practices.
  • Contract Management skills, i.e., familiarity with contract terms, negotiation, and compliance to ensure favorable terms and risk management.
  • Proficiency in procurement software is a bonus.
  • Strong negotiation skills.
  • Strong analytical and problem-solving skills.
  • Strong interpersonal, communication, and presentation skills.
  • High ethical standards and integrity.
  • Strong organizational and time management skills.
  • Ability to work under pressure and meet tight deadlines.
  • Degree in Mechanical/Electrical Engineering, Business Administration/Supply Chain/Purchasing, or equivalent with at least 6 years of experience in the field of sourcing, procurement, and contracting management or related field.

Or,

  • Diploma in Mechanical/Electrical Engineering, Business Administration/Supply Chain/Purchasing, or equivalent with at least 8 years in the field of sourcing, procurement, and contracting management or related field.

Job Type: Full-time

Pay: $6,000.00 - $8,000.00 per month
