Job description

We are seeking a resourceful and dynamic Personal Assistant (PA) to provide comprehensive business and sales support to the Managing Director (MD) in both local and regional operations. This role goes beyond traditional secretarial duties and requires a proactive individual with strong business acumen, organizational skills, and preferably experience in sales.

Responsibilities:

Executive and Business Support:

  1. Provide full-spectrum of business and administrative support to the MD;
  2. Organise and schedule meetings, prioritizing tasks in alignment with business needs;
  3. Prepare meeting agendas, presentation materials, reports and minutes for internal and external meetings;
  4. Coordinate and follow up on action items with internal departments, business partners and stakeholders.

Project and Documentation Support:

  1. Assist and be involved in company projects, prepare and track documentation, ensuring tasks are completed by the given time frame;
  2. Compile, organize, and maintain key business documents, proposals, and reports;
  3. Monitor project timelines, liaise with relevant parties and provide regular updates to the MD.

Sales Support:

  1. Support the MD in sales-related activities;
  2. Coordinate follow-up actions with clients, prospects and the sales team to ensure smooth communication flow.

Requirements:

  1. Diploma/Degree in Business Administration, Marketing, or related fields;
  2. Minimum 8 years’ relevant experience in a similar role, preferably with exposure to sales or business development support;
  3. Strong business acumen with the ability to understand and support sales and operational needs;
  4. Resourceful, good analytical skills and ability to organise work efficiently with minimum supervision;
  5. Ability to multi-task and work independently;
  6. Possess excellent communication (written and verbal) and interpersonal skills;
  7. Excellent time management skills and ability to prioritise work;
  8. Strong team player and collaboration across functional teams;
  9. Proficient in MS Office;
  10. Ability to maintain a high degree of confidentiality;
  11. Attention to detail and ability to work well in a fast-paced environment.
