The Job
The position holder will work closely with the Managing Director (MD) to provide one-to-one secretarial support to the Managing Director. They will help with time and daily management, scheduling of meetings, correspondences, and note taking. They are also expected to answer phone calls and send emails on behalf of the Managing Director, if requested.
What You Can Expect of the Job
- You’ll act as the first point of contact for the Managing Director, e.g. dealing with correspondences and phone calls, monitoring Managing Director’s email and responding if required.
- You’ll perform the full spectrum of administrative and secretarial support duties to the Managing Director, e.g. manage the Managing Director’s calendar and appointment scheduling.
- You’ll manage the daily/weekly/monthly meeting agenda and arrange new meetings and appointments.
- You’ll file and update contact information of customers, counterparts, and external partners.
- You’ll prepare presentation materials, meeting minutes and reports.
- You’ll prepare and disseminate correspondence and memos.
- You’ll assist the Managing Director in collating and filing travel and/or business expenses, including insurance claims.
- You’ll conduct research and provide information as requested by the Managing Director.
- You’ll manage travel arrangement and itineraries, e.g. booking and arranging of accommodation and transportation.
- You’ll act as backup for managing travel arrangements for the whole company.
- Any other ad-hoc duties as assigned by the Managing Director.
What We Expect of You
- Diploma or Degree in Secretarial/Business Administration or equivalent.
- Proven experience of minimum 5 years as Secretary/Personal Assistant to Senior Management in a multi-national organisation.
- Familiarity with office organisation and optimisation techniques.
- Proficiency in MS Office applications, e.g. Excel, Word and PowerPoint.
- Excellent command of written and spoken English.
- Tact, discretion, and diplomacy while dealing with confidential information.
- Possess a calm, well-presented and professional manner.
- Excellent organisational and time management skills.
- Resourceful, proactive, adaptable and able to work with minimal supervision.
- Good interpersonal and communication skills.
- Efficient, versatile and attention to detail.
- Willingness to work a flexible schedule and may require working beyond office hours if situation dictates.
