Personal Assistant (Corporate Travel Planning)

Job Description:

Location: 2 mins walk from Newton MRT

Working Hours: Monday to Friday, 08:30 AM - 05:30 PM

Compensation: Basic + mobile allowance + 2 times bonuses + 14 AL, permanent role

Responsibilities:

• Travel Planning and Coordination: Research, plan, and book travel itineraries, including flights, accommodations, car rentals, airport transfers, restaurant reservations, and activities. Create and manage travel schedules.
• Travel Documentation: Prepare and obtain necessary travel documents, such as passports, visas, and travel insurance.
• Communication and Correspondence: Liaise with travel providers, airlines, and hotels to confirm arrangements and resolve any travel issues.
• Administrative Support to CEO: Provide general administrative assistance to the CEO, including email management, calendar organization, meetings scheduling, claims, and data entry.
• Administrative Support to Office: Assist in office administrative matters such as managing the office pantry, liaising with facility management, liaising with the IT department, managing the company's IT assets, assisting with newcomer onboarding, assisting in company gifting logistics, and coordinating and arranging meetings, including logistics and venue arrangements.
• Others: Any other matters that might be assigned by the CEO / HODs.
• Discretion and Confidentiality: Maintain confidentiality and handle sensitive information with discretion.

Requirements:

• Diploma with 3-5 years of experience in a similar capacity (office admin), preferably in finance industry / travel agency.
• Experience in travel planning.
• Proficiency in Microsoft Office suite and other relevant software.
• Presentable, confident, and detail-oriented with the ability to thrive in a fast-paced environment.
• Ability to maintain confidentiality and handle sensitive information with discretion.
• Excellent organizational and interpersonal skills with fluency in spoken and written communication to effectively engage with stakeholders.
• Capable of working independently while also being a collaborative team player with a high level of integrity.
