Job description

Administrative Executive

  1. Prepare documentations for Engineers including delivery orders, testing & commissioning, safety documents, etc.
  2. Support projects including monitoring follow up/outstanding list, liaising with vendors/user on schedule, consolidating meeting minutes, etc.
  3. Prepare weekly reports, monthly project management report, customer reports.
  4. Collate subcontractors workers information quarterly in accordance with PDPA standard used by Project team for site document submission.
  5. Attend to customers’ enquiries and feedback and channel to relevant Project Manager/Engineer.
  6. Provide office administrative and secretarial support to Project team including booking of meeting room, etc.
  7. Identify and implement process improvements within administrative functions.
  8. Prepare and submit service quotations to customers including follow-up action, creating sales orders/job cards/service call logs/job journals, etc.
  9. Channel customers’ requests to relevant departments for follow-up action, ensuring all cases are attended to and closed promptly.
  10. Assist Finance in billing matters pertaining to modification jobs (collating and submitting relevant documentations for billing).
  11. Assist Service Controller in requesting quotations from suppliers/subcontractors.

Requirement

  1. Min. Nitec in Administration Management
  2. 1-2 years working experience or Fresh Graduates are welcome.
  3. Able to work independently with minimum supervision.
  4. Good communication skills.
  5. PC knowledge in MS Office.
  6. 5 Work Week.
