Job description

BROAD FUNCTION

  1. Maintain and implement appropriate corporate policies, procedures and controls for operational processes.
  2. Work with the Executive Director (ED) / Operations Manager (OM) to coordinate with other departments and external parties to service the needs of the nursing home residents and the organization.
  3. Supervise a team of staff to meet the daily needs of the nursing home residents, e.g. laundry, kitchen, cleaning, etc.
  4. Supervise Operations and Facility Technician & Facility Assistant to ensure smooth day-to-day Operations.

RESPONSIBILITIES

Kitchen Service Management

  • Plan and control all activities pertaining to the effective management of outsourced kitchen service to meet the needs of the nursing home residents.
  • Establish/improve work processes and standard operating procedures (SOPs).
  • Provide feedback channel for improvement of food service for nursing home residents.
  • Review food menu for areas of improvement.
  • Verify monthly billing.
  • Conduct routine inspection of kitchen to ensure compliance with hygiene standards and government regulations.

Laundry Service Management

  • Plan and control all activities pertaining to the effective management of laundry service to meet the needs of the nursing home residents.
  • Establish/improve work processes and standard operating procedures (SOPs).
  • Plan monthly roster of laundry service staff.
  • Mentor and guide laundry service staff on their work.
  • Work with outsourced laundry service partner on efficient delivery of laundry service.
  • Verify monthly billing.

Building Maintenance & Management

  • Plan and control all activities pertaining to the effective building maintenance and management.
  • Plan deployments and preventive maintenance schedules for all building facilities.
  • Monitor the efficiency, lifespan and warranty period of all building facilities, machines and equipment.
  • Work with stakeholders to design Standard Operation Procedures (SOP) for all facilities and equipment that relates health and safety for both the residents / clients and staff.
  • Conduct routine inspection / observation within the building to ensure all facilities comply with safety guidelines and government regulations.

Vendor Management

  • Assist the ED / Operations Manager to manage external vendors for the provision of supplies and services (Security, Landscape, Pest Control, Waste management, Linen leasing and laundry, Housekeeping, Meals etc).
  • Liaise with Operations & Facility Management (OFM) for effective and efficiency management of all external vendors.
  • Supervise the works of vendors and contractors and ensure that the works meet the contractual requirements and comply with health and safety regulations.
  • Conduct regular inspections on building maintenance, cleanliness, security service and food service provider to ensure high standard of deliveries.

Servicing Equipment, Machines and Devices

  • Track and monitor biomedical equipment servicing, ensuring that servicing is carried out according to the Biomedical Equipment (BME) Master schedule.
  • Track and monitor Rehab equipment and Gym machines servicing to ensure that they are functioning properly.
  • Assign job requests and monitor the time taken for completion of jobs.
  • Ensure preventive maintenance and ad-hoc repairs are completed in a timely manner.
  • Maintain repair work documentation and maintenance schedules.

Safety, Security & WSH

  • Assist the ED/Operations Manager to execute the facility’s plans for workplace safety and fire safety.
  • Carry out all reporting and investigation of security incidents happening in AMKNH.
  • Assist and facilitate the yearly Pandemic Outbreak Exercise conducted by Ren Ci HQ.
  • Prepare statistics and management reports.
  • Compile and collate operational data for report purposes.
  • Responsible to maintain database, provide data analysis and trending.
  • Prepare statistical and operations reports.

Manage Technology & Innovation

  • Manage IT matters and liaise with HQ MIS for IT support.
  • Identify areas of improvement and be involved in Quality Improvement and Technology & Innovation projects when required.
  • Work with Operations Manager to solve operation problems and aim for continuous improvements.

Others

  • Ensure the staff of the Operations teams are adequately trained for their roles.
  • Liaise with HQ Corporate Communications and assist the Operations Manager to manage internal communication.
  • Be prepared for job rotation within the Operations team when needed.
  • Work as a team to support other Operations team mates when required.

Requirements

  • Degree / Diploma in Strategic Facilities Management/ Building / Estates Management / Real Estates / Engineering would be an advantage.
  • Preferably license as Fire Safety Manager.
  • At least 2 years of experience in Operations.
  • Working experience in healthcare setting will be an added advantage.
  • Proficient in MS Office Word, PowerPoint and Excel.
  • Good interpersonal, communication and organisational skills.
  • Good command of English both verbal and written.
  • Able to work independently and with a team.
  • Meticulous and pro-active.
