Join Our Team as an Operations Admin Coordinator!

Are you detail-oriented, highly organized, and passionate about ensuring smooth operational processes? As an Operations Admin Coordinator, you will play a key role in optimizing workflows, managing logistics, and supporting various departments. This is an exciting opportunity to make an impact while coordinating shipping, export, and administrative functions within a dynamic team.

What You’ll Do:

Shipping & Export Coordination:

  • Prepare and manage essential shipping documents (packing lists, airway bills, etc.).
  • Collaborate with the Finishing Team to ensure export goods are packed according to work orders.
  • Track shipping status and ensure on-time delivery.
  • Schedule carrier bookings and manage timely pick-ups and deliveries.

Vendor & Purchase Order Management:

  • Issue and track Purchase Orders (POs) to vendors to ensure smooth operations.
  • Follow up on orders and deliveries to maintain inventory and operational continuity.

Traffic Department Support:

  • Provide key administrative support for the Traffic Department, including task coordination and scheduling.
  • Assist in the submission of Mall Pass documents and ensure accuracy.

General Administrative Duties:

  • Handle routine administrative tasks (phone calls, emails, filing, etc.).
  • Ensure timely mail distribution and respond promptly to internal communications.

Bookkeeping Support:

  • Assist with basic bookkeeping, ensuring accurate record-keeping and data entry.

Skills & Qualifications:

  • Strong organizational and multitasking skills.
  • Excellent communication skills (both written and verbal).
  • Ability to manage time effectively and prioritize tasks in a fast-paced environment.
  • Detail-oriented with a focus on accuracy.
  • Proficiency in MS Office Suite (Excel, Word, Outlook, etc.).
  • Knowledge of shipping and export documentation is a plus.
  • Experience in administration and basic bookkeeping preferred.

Working Conditions:

  • Full-time position
  • Occasional overtime during peak shipping periods
