Operations Executive
Reports to - General Manager
Job Summary
The Operations Executive assists in managing the delivery and servicing operation duties as directed. This includes managing resources, work procedures, service contracts, and work incidents.
You are required to implement and recommend operation plans to improve work processes and service quality for the company. You are able to see the bigger picture and find operational efficiencies (or at least keen to develop an efficiency mindset). You will work in an office environment and perform site visits when necessary.
You are expected to communicate with cross-functional teams and clients to ensure a seamless flow in our processes to maximize efficiency and minimize costs.
You are organized, responsive, approachable, able to multi-task, and capable of interacting with a diverse operation team including drivers and crew.
5-day work week as per duty roster (able to work on weekend shift).
Working hours – 7.30 am to 6.30 pm
Responsibilities:
- Facilitate planning of driver and crew work schedules and daily deployment of manpower for next day arrangements.
- Coordinate transportation activities for achieving cost-effective timely delivery.
- Assist in budget planning.
- Manage inventory, equipment, and maintain stock of supplies, optimizing processes to cut costs while ensuring adequate stock availability.
- Collaborate with cross-functional teams such as procurement manager and sales team to align operational activities.
- Assist in development and review of operation plans to improve work procedures and quality of service delivery.
- Guide teams to respond to incidents and emergencies on the road and on the job.
- Assist in providing updates on incidents to the appropriate person.
- Assist in resolving complaints from clients.
- Prepare monthly job reports for submission to management.
Requirements
- Advance certificate/diploma in any discipline.
- At least 2 years of working experience preferably in the operations capacity in service, logistics, or cleaning industry.
- Ideally with class 3 driving license and has own vehicle.
- Strong problem-solving skills and can work in a fast-paced environment.
- Strong decision-making skills with keen attention to detail.
- Computer literacy in Microsoft Office and email is essential.
- A team player with excellent communication skills and can work inter-dependently.
- Covering of manpower if needed (may need to at times perform delivery task).
- Proficient in English.
