Job description

Salary Range: $3,000 - $4,000

This is a Permanent role.

You will manage the administrative operations and the facilities of the company. You will be responsible to organize all administrative activities that facilitate the smooth running of the office, facilities and resources and devising ways to streamline processes.

Roles and Responsibilities

  • Manage and delivery of high-quality administrative operations
  • Monitor budgets and prepare accurate reports about your findings
  • Keep and maintain up-to-date detailed records of beneficiaries, donors, sponsors, and relevant stakeholders
  • Ensure compliance with current healthcare regulations
  • Keep records of all expenses and recommend techniques to reduce costs
  • Coordinate with healthcare partners to identify their issues and needs
  • Provide administrative support to internal stakeholders, duties do not limit to minutes writing, meeting arrangement and other office administration duties
  • Manage in office administration such as purchasing of admin related equipment and supplies
  • Perform facilities management includes upkeep facilities, manage the cleanliness of office environment, ensure the smooth running of daily operations of the office, and problem troubleshooting through professional liaison with the vendors.
  • Support, welcome guests and extend hospitality on behalf of the company
  • Receive deliveries and mails, organise them to be distributed to the correct recipients and ensure they get to the recipient in a timely manner while also managing outgoing mails and packages for pickup
  • Answer, screen and forward incoming emails and calls to right personnel and department
  • Support team activities, including event logistics and F&B arrangements whenever necessary
  • Other administrative and support services as may be assigned from time to time.

Requirements

  • Diploma in Business Administration, Health Care Administration or relevant discipline
  • Minimum 3 years of relevant working experience (proven experience in a healthcare setting is a bonus)
  • Knowledge of office procedures
  • Knowledge of healthcare regulations and basic medical terminology
  • Strong business written and spoken English
  • Problem-solver with good time-management abilities
  • Ability to communicate effectively in a polite and professional manner.
  • Meticulous and attention to details
  • Experience exercising discretion and confidentiality with sensitive company information
  • Excellent organizational skills with an ability to think proactively and prioritize work
  • Proficiency with computers, especially MS Office.
