Job Description:
Responsibilities
Team Management
Lead in Organisational Planning, Budgeting and Forecasting
Plan, budget and forecast resource needs and make effective decisions on resource allocation so that productivity is maximised
Organize and coordinate documentation deliverables e.g. MSRA, DARs, Monthly Progress Report, etc. among local teams, overseas teams and sub-contractors to meet customer deliverables
Provide management information on the status of project documentation by maintaining CDRL Tracker and Letter Receipt / Sent Tracker
Delivery
Editing, formatting and publishing of all documentation into project template.
Maintain Configuration control for all document deliverables.
Provide audit trail for Project and Product documentation.
Control and issue of reviewed documentation.
Create, issue and progress document transmittals to customer and between project teams.
Collate Design approval request and submission deliverables.
Maintain document change control and quality control procedures.
Distribute the Decision Sheet from customer on documents to respective staff.
Coordinate Project Admin for admin related tasks.
Support and provide guidance to staff on the use of the records management system and the relevant recordkeeping responsibilities.
Serve as the custodian of all deliverables transmitted and monitor/report of deliverables status.
Lead the monitoring and tracking of document status.
Ensure compliance with company and legal document management requirements.
Provide training to staff on document control procedures.
Resolve document control issues and conflicts.
Archive and dispose of outdated documents.
Manage document revisions and ensure the latest version is available.
Maintain document control database and files.
Coordinate document review and approval processes.
Requirements
Diploma in any relevant discipline with 2 years of experience as document controller in a similar field
Excellent communication and coordination skills are a must
Must be agile, innovative, team player, willing to work with tight timelines
Proficient in MS suite
Knowledge in ClearQuest and readiness to master new tools
Attention to detail is essential
Good presentation, communication and interpersonal skills
Ability to lead a team with good planning and communication with different stakeholders
Good team player with drive and initiative
Able to work under pressure and tight deadlines
Excellent organizational and time management skills
