Overview:

The Management Support Officer provides essential administrative and operational support to the management team. This role involves handling a variety of tasks that ensure the smooth functioning of the office, facilitating communication within the organization, and assisting in the execution of strategic initiatives.

Roles & Responsibilities:

  1. Support the Head of Department at meetings, including note-taking, follow-up tasks as required by the Head of Department after meetings, and tracking progress based on provided guidelines.
  2. Support the administration of gifts received, including gift processing based on standardized guidelines, updating donation records in a tracker, preparing thank you letters using a standardized template, and managing donation documentation and e-filing.
  3. Maintain records of corporate gifts, merchandise items used during events, and storage of office equipment.
  4. Act as event support personnel for the Department, including preparing name tents, booking restaurants, facilitating car parking, and preparing logistics for events.
  5. Perform office management duties, which include printing and scanning documents, and managing mailing and courier services for documents and books.

Requirements:

  1. Proficient in digital tools, such as MS Office.
  2. Good interpersonal, oral, and written communication skills.
  3. Meticulous and organized.
  4. Able to work independently and meet tight deadlines, prioritize tasks, and escalate matters as necessary.
  5. Service-oriented mindset.

Specifications:

  1. Location: Institution in the west.
  2. Working hours: Weekdays during office hours; may be required to work on weekends to support events, compensated with OIL.
  3. Contract-based.
