Job Description

The management assistant is responsible to proactively support the General Manager of dship Singapore.

In the capacity of management assistant, the employee will be responsible for:

  1. Assisting the General Manager to grow the business in the South-East Asian market
  2. Providing administrative support to the General Manager, including calendar management, scheduling meetings, and making travel arrangements
  3. Preparing and distributing correspondence, reports, and presentations as needed
  4. Maintaining and organizing physical and electronic filing systems, ensuring easy access to important documents and records
  5. Managing administrative tasks in and for the dship office Singapore
  6. Assisting with rate enquiries and filtering the most important ones in review of vessels positions
  7. Assisting with research of available cargoes and helping manage the inflow of enquiries
  8. Assisting with data entry in IMOS voyage calculation system
  9. Assisting with tender pricing management
  10. Assisting in maintaining an internal CRM database
  11. Assisting with any other areas relating to the day-to-day business assigned by the management
  12. Ensuring correctness in all areas
  13. Ensuring that corporate guidelines are being adhered to
  14. Following group code of conduct

Market & Industry Knowledge

  1. Basic knowledge in international shipping/transport
  2. Experience in office or management assistance
  3. Understanding of company strategy and products
  4. Understanding of company rules and guidelines

  1. Excellent written and verbal communication skills
  2. Attention to detail and high level of accuracy in work
  3. Ability to understand clients’ needs
  4. Strategic planner, analytical and conceptual thinker, self-starter and team player
  5. Strong organizational skills (prioritize, independent, plan, assign, control)
  6. Good communication, cross-culture competence and interpersonal skills
