PSA BDP serves over 5,000 customers, including some of the world's leading multinational companies within the chemical, retail & consumer, life sciences & pharmaceuticals, and electric vehicle & industrial verticals.
This role is responsible for operation excellence of the various teams that are under his care. The role is to inculcate in the team members the culture of providing excellent customer service to customers. Apart from that, the Executive is to be constantly engaged in manpower planning and deployment and ensure that the Operating costs are kept under control. He is also involved in farming to develop more businesses from the existing clients.
Scope of Work & Responsibilities
- Oversee the smooth running of day-to-day operations.
- Ensure teams follow SOP and investigate non-compliance.
- Strictly adhere to BDP Health, Safety & Environmental and Security Policies and Standards.
- Ensure that team leaders perform audit checks on all outgoing documents.
- Communicate and coach team members on best practices and potential pitfalls to avoid from time to time.
- Conduct team meetings and inter-team meetings across departments to resolve bottlenecks and enhance customer service to clients.
- Ensure that the teams have credible & workable backup plans. All team members must be cross-trained and have hands-on experience in handling the work as backup.
- Manage the current team to achieve Operation Excellence.
- Create a culture of customer service excellence by reinforcing to the team regularly to respond to customers promptly and proactively.
- Render advice and assistance to customers to resolve shipping issues encountered.
- Hold regular Monthly Operation Meetings with Customers to obtain feedback on BDP service performance and resolve operation issues.
- Investigate customer complaints and recommend corrective and preventive actions to resolve the issues.
- Work with current teams and teams of other departments to deliver great BDP Customer experience to existing and prospective customers.
- People Management
- Conduct manpower resource planning to ensure that workloads are evenly distributed and all the staff work as a team to achieve greater productivity and output.
- Conduct Staff Performance Appraisal & Coaching periodically to ensure that staff goals are in line with the company's objectives.
- Train and groom a second line of potential leaders for succession planning.
- Train and coach existing team leaders to be independent and able to manage and handle difficult issues.
- Conduct orientation and induction programs for new staff, ensuring that new staff are successfully integrated into their current teams and the organization.
- Conduct on-the-job training for new staff and leadership training for team leaders.
- Assist manager in creating a work environment that motivates the team to achieve higher work performance.
- Cost Management
- Scrutinize and study the profit & loss statements of the department accounts to determine the root cause of not meeting or exceeding the budget.
- Propose to department manager cost containment measures.
- Assist department managers in monitoring and following up with customers on prompt settlement of outstanding accounts.
- Streamline current processes to reduce wastage, cost, and improve the overall productivity of the department.
- Business Development
- Involve in joint sales calls with the Sales Team to potential customers.
- Work out quotations for tender bids requested by overseas BDP offices.
- Provide prompt pricing quotations to sales or customers when requested.
- Performance Report
Collate and analyze operation statistics, and submit monthly reports to immediate superior.
Submit Monthly KPIs Reports to Customer.
Job Requirements
Experience
- Minimum 5 to 8 years of supervisory and managerial experience in forwarding, shipping, and documentation.
- Well-versed with Letter of Credit.
- Good knowledge of Custom Permit Declaration for all types of custom permits.
- Experience and good knowledge of SAP.
- Possess leadership qualities and experience.
Qualification
- GCE O & A Level, Diploma, or Degree holders.
Knowledge/Skills
- MS Office, both in Word, Excel, and PowerPoint.
- Management report writing skills.
- Good analytical skills.
- IT System savvy, such as SAP and other in-house logistics systems.
- Good spoken and written English.
- Leadership and management skills.
- Good knowledge of forwarding, shipping, and documentation.
- Knowledge and understanding of Letters of Credit.
- Good communication and problem-solving skills.
- Self-confident and independent.
- Patience and have good human relation skills.
