Job description

Job Summary:
We are seeking a proactive and detail-oriented Junior HRBP (Depot) with strong leadership abilities to manage employee contracts, licenses, welfare, and benefits. This role also oversees key HR administrative processes, including resignations, retirements, and union appeals. The ideal candidate should possess excellent organizational and communication skills, be a strong team player, and demonstrate the ability to lead and coordinate across various stakeholders, including management, employees, and unions.

Key Responsibilities:

Contract, Licenses, Welfare & Benefits:

  1. Issue employee passes and arrange replacements for lost or damaged ones.
  2. Monitor and manage the renewal of driving licenses, work permits, and employment passes.
  3. Track contract renewal deadlines for Bus Captains (BCs) and coordinate necessary actions.
  4. Process work permit/employment pass cancellations and vocational license withdrawals for departing non-local BCs.
  5. Monitor BCs and staff approaching retirement and handle related administrative processes.
  6. Prepare and submit retirement cases for optional or medical grounds for approval.
  7. Manage resignation and termination processes, ensuring smooth exit procedures for BCs and staff.
  8. Issue employment certification letters upon request.
  9. Assist in organizing monthly and quarterly orientation sessions for Head Depot.
  10. Lead and coordinate employee welfare activities, including arranging free bus services and ordering wreaths in case of an employee’s immediate family member’s passing.

Board of Inquiry (BOI):
  1. Take leadership in coordinating BOI proceedings, ensuring all necessary approvals and preparations are in place.
  2. Ensure the selection of a BOI Chairman and members, including union representatives, for fair hearings.

Union Appeals & CPS System:
  1. Organize and coordinate appeal sessions with the Union.
  2. Inform Interchange Managers about appeal dates and venues.
  3. Maintain and update BC disciplinary records for appeal cases.
  4. Document appeal outcomes and liaise with Inspection Groups (IGs) for follow-up actions.
  5. Maintain and update the CPS system with relevant records.

Leadership & Team Coordination:
  1. Take initiative in improving HR processes and policies to enhance efficiency.
  2. Act as a trusted advisor to employees, providing guidance on HR policies and procedures.
  3. Collaborate with department heads to ensure HR initiatives align with company goals.
  4. Support and mentor junior team members, fostering a positive and collaborative work environment.

Other Duties:
  1. Provide support in other HR and administrative tasks as assigned.

Requirements:
  1. Minimum 2 years of relevant experience in HR roles.
  2. Degree in Human Resource Management or a related field.
  3. Strong leadership skills with the ability to take ownership of key HR processes.
  4. IHRP certification is preferred.
  5. Strong organizational, meticulous, and task-oriented mindset.
  6. Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  7. A team player who can also work independently and lead initiatives.
  8. Strong verbal and written communication skills in English and Mandarin to communicate effectively with key stakeholders.
  9. Ability to thrive in a fast-paced environment and manage multiple tasks effectively.
