Job description

Le Petit Society is a leading baby and kids clothing brand committed to crafting high-quality, sustainable products designed with children and families in mind. We are seeking a Junior Admin/HR Executive who is highly motivated, meticulous, and enjoys working with people. You will report to our HR Manager and assist with basic administrative, operational, and HR-related tasks within the organization.

Responsibilities:

Administrative duties:

  1. Checking of staff leave and claim submissions in the company's HR software to support the monthly payroll processing.
  2. Assist in raising invoices for payment collection and administer payments to vendors and suppliers.
  3. Documenting and updating manuals for company processes, after action reviews, etc.
  4. Assist operations team with occasional hands-on tasks, e.g., counting of stocks received to verify Delivery Order, housekeeping of warehouse stocks.
  5. Other administrative tasks such as data entry, filing, and document management to liaise with outsourced accounting providers.

HR duties:

  1. Contacting potential candidates and arranging interviews with management, sending calendar invites.
  2. Assist in preparing employee contracts, informing new employees of reporting details.
  3. Onboarding/offboarding employees in the company's HR software, ongoing maintenance of employee data in the software.
  4. Other ad-hoc tasks to support staff matters, e.g., collating staff availabilities for work events, preparation of forms for the annual appraisal process, etc.

Requirements:

  1. High school diploma or equivalent. Fresh graduates are welcome to apply.
  2. 0-2 years of experience in administrative or HR roles.
  3. Meticulous, strong attention to detail and accuracy.
  4. Able to manage multiple tasks and deadlines, while adaptable to changing priorities and demands.
  5. Good communication and interpersonal skills, able to work independently and collaboratively.
  6. Proficient in Microsoft Office/Google Workspace apps and able to pick up new software platforms via self-directed learning or checking with relevant support channels.

Work Schedule:

  1. Mondays to Fridays.
