Job description

Responsibilities

  • Staff Recruitment Support: Engaging with recruitment agencies to meet staffing needs and ensuring a clear understanding of job requirements.
  • Candidate Selection & Interviewing: Involvement in the hiring process, from shortlisting to conducting interviews.
  • Onboarding: Facilitating the onboarding process for new hires.
  • IT & Facilities Setup: Ensuring all necessary IT setups (computers, emails) and office arrangements are made.
  • EP & DP Application: Managing Employment and Dependent Pass applications for foreign staff.
  • Accommodation & Banking Support: Assisting foreign staff with settling in, including accommodation and banking support.
  • Resignation Process: Handling the administrative process during staff resignation.
  • IR8A Form Preparation: Ensuring the timely preparation and submission of tax forms.
  • Tax Data Submission for Japanese Staff: Coordinating with tax authorities for tax filings.
  • General Legal Compliance: Monitoring compliance with employment laws.
  • Childcare & Maternity Leave Claims: Managing claims and liaising with relevant government bodies.
  • Annual Staff Evaluation: Supporting the annual staff review process.
  • Personnel Systems Review: Reviewing and improving personnel systems.
  • Insurance & Benefits Administration: Managing benefits and insurance renewal.
  • Payroll Processing: Ensuring accurate payroll and benefits processing.
  • CPF Submission: Coordinating CPF contributions.
  • Staff Claims Handling: Ensuring proper documentation for staff claims.
  • Attendance and Leave Management: Overseeing employee attendance and leave requests.
  • Office Equipment & Asset Management: Managing office supplies and assets.
  • General Office Management: Overseeing office maintenance and liaising with vendors.
  • Business Trip & Travel Booking: Coordinating travel arrangements for employees.
  • Medical Support: Arranging medical check-ups for employees.
  • Employee Relations Management: Mediating conflicts and handling employee grievances.
  • Employee Engagement: Supporting strategies for employee retention and engagement.
  • Assist in Event Planning: Helping to organize events and team bonding activities.
  • Sustainability & Green Initiatives: Supporting initiatives for sustainability and achieving environmental certification.
  • Managing communication with external agencies and internal departments.

Requirements

  • Candidate must have minimum Diploma in Human Resource or equivalent.
  • At least 5 years of relevant Human Resources and Administrative Assistant Manager experience.
  • Able to multi-task effectively with minimal supervision.
  • Knowledge of employment act, wage and salary laws and regulations.
  • Resourceful and innovative in implementing recruitment and retention strategies.
  • Positive and able to find joy in things you do.
