Position Overview

Reporting into the CPS Singapore Plant General Manager, this position provides secretarial and administrative support to the Plant GM and CPS Senior Operations Director (East). The role also partners closely with the HR/Admin function to enable effective and efficient office management at all times, including general affairs of the CPS Singapore office.

Responsibilities

  1. Provide secretarial and administrative support to the Plant GM and CPS Senior Operations Director (East)
  2. Providing advice and guidance on hotel reservation, transportation and visa applications for associates and visitors, where necessary (all associates can make travel arrangements via CONCUR or Travel Help Desk).
  3. Manage office supplies purchasing and inventories (such as stationeries, groceries, KO drinks, printed documents, etc.) and office equipment. Raise POs (Purchase Orders) and/or perform GRs (Good Receipts) in SAP.
  4. Manage mail room, incoming and outgoing mails, courier services and communications including distribution to respective departments
  5. Create and maintain group email lists
  6. Coordinate with respective hosts for visitors to the plant
  7. Support in New Hire Orientation and administrative onboarding activities (e.g. uniforms, fingerprint registration for Time and Attendance system, etc.)
  8. Assist in the implementation of Employee Engagement, Corporate Social Responsibility (CSR) and Wellbeing Programs
  9. Assist in the organizing of plant events such as Family Day, Annual D&D, Business Plan Cascade, Teambuilding, Management Team offsite meetings and events
  10. Manage calendar of LT / ExLT calendar of events such as Townhalls, ExLT Meetings, KO Connect Sessions, etc.
  11. Participate in HR/Admin function meetings as an extended member of the team
  12. Improve and enhance work processes utilizing digital tools and processes to contribute to productivity and reduction of wastes

Requirements

  1. Minimum 1 – 2 years’ relevant experience, preferably in a multinational organization
  2. Proactive, independent, meticulous and well-organized
  3. Proficient in MS Office applications such as Words, Excel, PowerPoint. Knowledge in other digital tools such as RPA will be an added advantage.
  4. Excellent communication and interpersonal skills
  5. Ability to confidently manage communications across all levels in the organization, beyond CPS Singapore
  6. Excellent planning and organizing skills
  7. Good team player and strong customer orientation
  8. Good negotiation and problem solving skills
  9. Possess high level of integrity and discretion to maintain confidentiality in matters
