Job description

We are looking for a HR Generalist to join our company.

Global Business Services provides high quality, scalable and cost-efficient business support services, such as finance, HR and IT, to companies in the Wilhelmsen group.

This HR Generalist will support the recruiters in the hiring process and also assist the HR Business Partners in the team with payroll administration, and manage administrative tasks related to employee engagement. This position ensures smooth HR operations by managing essential administrative tasks while providing guidance to employees and local HR team on HR-related matters.

Who you will report to:

The position reports to the HR Manager and works closely with other local HR team as well as members of the global management team.

What you will be doing:

HR Processes & Administration

  • Implement and ensure compliance with global People Processes, including recruitment, onboarding, competency development, performance management, and offboarding.
  • Manage employee records, personnel files, and Workday updates.
  • Administer payroll, benefits, pensions, insurance, leave records, and sick leave management, coordinating with insurance vendors as needed.
  • Oversee end-to-end payroll administration for a small entity.
  • Support the HRBPs (Recruiter, Employee Engagement & Payroll) with Admin matters.

Personnel Administration

  • Prepare appointment letters and employment contracts.
  • Maintain personnel records and process NS make-up pay.
  • Handle year-end employee income submissions to IRAS and tax clearance for foreign workers.
  • Manage work pass applications, cancellations, and issuance.
  • Generate timesheets and submit HR reports, including quarterly sick leave reports.

General Administration

  • Upload e-claims and flexi claims.
  • Coordinate medical examinations for new hires.
  • Act as an administrator for the e-leave portal, ensuring updates and accuracy.
  • Track childcare and extended childcare leave.
  • Prepare invitation and visa letters as required.
  • Support the recruitment process in collaboration with recruiters.

Employee Welfare & Benefits

  • Coordinate staff gifts for weddings, childbirth, and other milestones.
  • Serve as the point of contact for employee insurance and manage annual insurance renewals.
  • Administer the Flexi Benefit program.
  • Prepare and submit sick leave reports.

What you will bring:

  • Bachelor degree, preferably from Human Resource Management / business administration or equivalent.
  • 2-3 years relevant work experience within HR is preferred.
  • Familiar with Easypay software and Workday would be an added advantage.
  • Strong understanding of HR best practices, employment laws, and regulations.
  • Understanding of HR processes and tools, and knowledge of local labour law and regulations.
