Location: Singapore (Remote, Hybrid Work Arrangement)

Type: Full-time or Part-time (flexible based on candidate profile)

About Us

We are a private family office based in Singapore, managing a diverse set of investments and affairs with a lean, detail-oriented team. We’re looking for a proactive and trustworthy HR & Finance Executive to join us. This role is ideal for someone who enjoys structure, precision, and working across multiple functions in a low-ego, high-integrity environment.

What You’ll Do

This is a multi-functional role covering Human Resources, Finance, and Documentation Management, with a primary focus on ensuring smooth internal processes and accurate financial tracking.

1) Human Resources Administration (20% – 30%)

  1. Assist with monthly payroll processes and liaise with CPF contributions as needed
  2. Handle employee expense claims and reimbursements
  3. Maintain HR-related files and records, both digital and physical
  4. Support compliance with local employment laws and HR best practices

2) Finance & Accounting Support (20% – 40%)

  1. Both bookkeeping and reporting for one of our entities and liaising with our external accounting firm for other entities monthly
  2. Review financial statements and flag inconsistencies or issues
  3. Assist in preparing documents for tax submissions and liaise with tax advisor
  4. Provide ad-hoc support for budgeting, reporting, and internal control processes

3) Document & File Management (10% – 20%)

  1. Organize and maintain all corporate documents in Cloud storage (e.g. Google, Teams, etc)
  2. Manage folders for contracts and legal agreements, financial statements, tax reports, trust documents, banking statements and ensure document versioning, proper naming conventions, and traceability

4) Valuation & Portfolio Tracking (20% – 33%)

  1. Regularly log in to banking platforms (BNY, MS, JB, etc.) to download statements
  2. Update internal valuation spreadsheets using market prices and reconciliations
  3. Assist in preparing internal financial summaries or dashboards as needed

Who You Are

  1. You have a basic understanding of accounting principles and financial reports
  2. You’re comfortable with financial market terminology (e.g., equities, NAV, AUM)
  3. You’re proficient in spreadsheet work (Excel or Google Sheets), including formulas and formatting
  4. You’re organized and careful with documentation — version control and naming conventions matter to you
  5. You’re discreet and professional when handling confidential data
  6. You are detail-oriented, patient, and methodical
  7. You enjoy working independently and take ownership of your work
  8. You have a working knowledge of standard tools: Cloud storage platforms, Aspire, PDF, Word, etc.

Qualifications

  1. Diploma or Bachelor’s degree in Accounting, Finance, Business Administration, or related field
  2. 2+ years of relevant experience in accounting, operations, or HR administration
  3. Prior experience in a family office or boutique finance environment is a plus
  4. Fluent in English; Chinese language skills are a plus (for reviewing certain documents)
