Job description
Role Overview:
The HR Executive will play a key role in managing day-to-day HR operations, ensuring smooth execution of HR processes, and supporting various HR initiatives.
Key Responsibilities:
HR Operations & Execution:
Recruitment & Onboarding: Assist in the recruitment process, including job postings, scheduling and conducting interviews, and managing new employee onboarding procedures.
Employee Administration: Handle employee confirmation of appointment, promotions, and exit formalities including offboarding procedures.
Payroll & Leave Management: Manage the employee database, ensure accurate payroll processing, and handle leave administration in compliance with company policies.
HR Reporting: Support in the preparation of periodic HR reports, including manpower reports, levy reports, and any other data as required.
Performance Appraisal Coordination: Coordinate and track the annual performance appraisal process to ensure timely completion and feedback.
Work Pass Management: Administer and monitor work pass applications, renewals, cancellations, and ensure compliance with immigration regulations, including managing the security bond and foreign worker quotas.
Claims & Benefits Administration: Manage medical insurance, work injury claims, staff claims, reimbursements, and timesheet tracking.
Disciplinary Matters: Provide support in managing employee disciplinary issues and assist in investigations as needed.
Staff Welfare & Engagement: Coordinate HR events, staff welfare activities, and initiatives that promote employee engagement and well-being.
Administrative Support:
Meeting Coordination: Organize and coordinate HR meetings, ensuring proper documentation and follow-up actions are taken.
Office Administration: Manage office supplies, equipment, and ensure the HR office is organized, efficient, and ready to support employees.
Health & Safety Compliance: Ensure adherence to health and safety regulations, promoting a safe and compliant working environment.
Reports & Presentations: Assist in preparing HR-related reports and presentations for management as required.
Additional Duties: Support the HR team with other duties and special projects as assigned by management.
Qualifications & Skills:
Experience: Minimum of 2-3 years of HR operations experience, preferably within the retail industry.
Skills:
Strong organizational skills and attention to detail.
Excellent communication and interpersonal skills.
Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
Problem-solving mindset with a customer-centric approach.
Discretion and the ability to handle confidential information with integrity.
