Process monthly payroll for all staff levels (including bonuses, tax returns, salary adjustments).
Administer employee benefits (medical claims, leave entitlements, insurance renewals).
Apply for government subsidies (e.g., wage support schemes).
2. Employee Records & Compliance
Maintain accurate employee records (attendance, tardiness, performance).
Ensure timely submission of CPF contributions, work pass renewals, and government compliance (MOM).
Handle MOM surveys and audits.
3. Employee Engagement & Support
Monitor employee morale, address grievances, and resolve conflicts.
Organize company events and staff recognition programs.
Assist with repatriation processes and exit formalities.
4. Training & Development
Train administrative staff (e.g., Purchaser, Account Assistant) on HR-related processes.
5. Policy & Legal Compliance
Update HR policies in line with government regulations.
Ensure adherence to workplace safety and employment laws.
Office/Admin Responsibilities:
Office Management
Monitor office cleanliness, pantry organization, and safety protocols.
Manage stock inventory (stationery, uniforms) and procurement.
Liaise with suppliers for discounts and resolve stock issues.
2. Administrative Duties
Distribute mail, forward critical emails to the Director, and monitor customer complaints.
Update office telephone lists and manage document filing systems.
Assist the Purchaser and Account Assistant during leave periods.
3. Financial & Procurement Support
Verify payments processed by the A/C Assistant and upload to IDEAL.
Compile documents for outsourced accounting.
Update pricing emails and negotiate supplier discounts.
4. Event & Inventory Coordination
Plan company events and manage logistics.
Conduct bi-annual stock checks and maintain asset records.
Requirements :
Business Administration or Certifications (e.g., WSQ Diploma in HR/Office Administration), and knowledge of Singapore Employment Act, MOM regulations, and CPF.
Candidates with HR field experience preferred but not required.
Well versed in government submissions (work passes, CPF, tax filings) and audits.
Skills include organizational agility (managing HR/tasks), communication, problem-solving, attention to detail, and adaptability (covering cross-functional roles).
Must understand MOM compliance, workplace safety, and statutory requirements.
Proactive mindset, team collaboration, and ethical handling of sensitive data are critical.
Ability to thrive in fast-paced environments, prioritize deadlines, and assist with after-hours emergencies/events.
Procurement or inventory management experience is advantageous.
