Job description

We are looking for a meticulous and reliable HR cum Administration Assistant / Executive. They will undertake both the Human Resources role and general administrative tasks.

Responsibilities:

  1. Provide administration support to both the Department and Project manager.
  2. Track stocks of office supplies and place orders when necessary.
  3. Develop and maintain a filing system.
  4. Assist in the preparation of regularly scheduled reports.
  5. Support staff claim submissions to HQ.
  6. Any other General Administration jobs.
  7. Arranging travel, visas, and accommodation.
  8. Assist in day-to-day HR duties including Application/Renewal of Work permit.
  9. Update new hires details and maintain personnel file.
  10. Maintain and submission of staff attendance records, medical & leaves records, and accommodation records.
  11. Carry out effectively on staff’s onboarding/offboarding procedures.
  12. Adhere to MOM (Ministry of Manpower) guidelines at all times.
  13. Any other duties as assigned by the HR manager.

Requirement:

  1. At least Higher NITEC/Diploma.
  2. Working area: Woodlands unless otherwise will be deployed to other project sites as and when needed.

  • Communication skills: Excellent verbal and written communication skills to effectively convey HR policies, engage with employees, and liaise with management.
  • Interpersonal skills: Strong interpersonal abilities for effective employee engagement, conflict resolution, and building rapport with diverse teams.
  • Problem solving: The ability to analyze HR challenges, offer solutions, and navigate complex employee-related issues.
  • Attention to Details: Meticulousness in handling confidential employee data, ensuring accuracy in documentation, and compliance with HR policies.
  • Negotiation skills: Proficiency in negotiation to resolve conflicts, handle employee grievances, and facilitate agreements between employees and management.
  • Time Management: Strong organizational skills to manage multiple tasks, prioritize responsibilities, and meet deadlines effectively.
  • Adaptability: Flexibility to adapt to evolving HR practices, industry changes, and embrace new technologies or methodologies in HR management.
  • Ethical Standards: Upholding ethical standards, integrity, and confidentiality in handling sensitive HR matters and employee relations.
  • Languages: Spoken and written in English and Chinese is essential.
