Job Title: HR, Administration & Operations Executive

Location: Singapore

Position Overview

We are seeking an HR, Administration & Operations Executive to take on a critical role in managing the Company’s human resources, office operations, and strategic programs. This hybrid position requires a highly organized and detail-oriented individual who can oversee HR processes, manage office operations, and lead the coordination of key strategic projects and programs. The ideal candidate will thrive in a dynamic environment, working closely with senior management to drive operational efficiency and support the Company’s most important initiatives.

Key Responsibilities

Human Resources

  1. Draft, review, and manage employment contracts, offer letters, and other HR documentation.
  2. Ensure employment agreement templates are updated in the common folder.
  3. Oversee onboarding and offboarding processes, ensuring compliance with Company policies and a positive employee experience.
  4. Maintain and update employee records, including leave management and benefits administration.
  5. Address HR-related inquiries and liaise with external vendors as required.
  6. Ensure compliance with local employment laws and regulations.
  7. Prepare monthly payroll files for the Singapore office before the payroll cutoff date.
  8. Manage the full work pass lifecycle, from job posting to renewal, where necessary.
  9. Collaborate daily with the HR and Finance Teams in the China offices (Xiamen and Shanghai) to ensure smooth communication.

Office Administration & Operations:

  1. Support cross-departmental projects to ensure operational alignment with business objectives.
  2. Process expenses and coordinate vendor payments in the Company’s financial system in a timely manner.
  3. Develop and implement process improvements to enhance operational efficiency.
  4. Monitor adherence to Company policies and local regulations.
  5. Ensure office supplies are adequately stocked.

Executive Support:

  1. Provide high-level administrative support to senior management, including calendar management, meeting scheduling, and event coordination.
  2. Document minutes for meetings upon request and track action items.
  3. Serve as the primary point of contact for internal and external communications on behalf of senior leadership.
  4. Lead or assist with special projects and initiatives as assigned by senior leadership.

Other Duties:

  1. Act as a backup for other roles when needed to maintain operational continuity.

Qualifications and Skills

  1. Education: Higher Nitec or Diploma in Business, HR, or Accounting.
  2. Experience: Minimum 3 years of experience in a similar HR, administration, and operations role.
  3. Technical Skills: Proficiency in MS Office (Word, Excel, PowerPoint, SharePoint, OneDrive, Outlook).
  4. Language Proficiency: Excellent communication skills in English and Mandarin, both written and verbal.
  5. Key Competencies:
  • Self-starter with the ability to work independently.
  • Able to work with a culturally diverse team.
  • Strong knowledge of HR practices and local employment laws.
  • Project management skills, including planning, execution, and progress tracking.
  • Exceptional organizational, multitasking, and time-management abilities.
  • Proactive, solution-oriented, open-minded, and detail-oriented.
  • Demonstrated ability to handle sensitive information with integrity and professionalism.
