Our client, a renowned animation, film, and entertainment company, specializes in IP and visual content licensing, product merchandising, and marketing across Southeast Asia. They are currently seeking an HR & Admin Executive/ Assistant Manager (Japanese Speaking) to support the Office Manager. This role involves managing the HR and GA to support smooth business operations.
Reporting To: Office Manager & Managing Director (MD)
【Responsibilities】
- Oversee HR functions, including onboarding/offboarding, labor management, payroll, employment contracts, and attendance tracking.
- Serve as the main point of contact for HR duties and liaise with both external and internal stakeholders.
- Engage external consulting and recruiting agencies as needed.
- Collaborate with superiors and Directors to develop and refine HR systems and policies.
- Ensure compliance with statutory reporting and filing requirements.
- Attend seminars (in-person/online) to stay updated on HR trends and incorporate insights into the company’s HR practices.
- Support the annual performance appraisal process.
- Manage expatriate requirements, including taxes and visa passes, and coordinate with Japan HQ as needed.
- Organize company events such as staff gatherings, company anniversaries, year-end dinners, and annual trips.
- Support compliance tasks, including ISO, internal audits, J-Sox, and AGM requirements.
- Renew annual insurance policies.
- Guide staff on updates to the company intranet, server, and public website.
- Handle documentation for corporate ACRA filings and updates.
- Perform other ad-hoc duties as assigned.

【Requirements & Preferences】
- Diploma or degree in Human Resources or a business-related field.
- Minimum 1-3 years of HR or office administration experience, including some experience with expatriate support.
- Fluent in the Japanese language in speaking, listening and writing (Minimum JLPT N3) is essential to liaise with Japanese HQ.
- Strong sense of corporate and office compliance.
- In-depth knowledge of local labor laws and regulations, or ability to research as needed (especially MOM guidelines, Singapore Employment Act, and HR best practices).
- Stable employment history, a commitment to long-term contribution, with a cheerful and pleasant demeanour.
- Proficient in Microsoft Word, Excel, and PowerPoint.
- Experience working in a small company or startup environment.
- Experience working in a Japanese company.
- Strong interest in Japanese culture or animation and willingness to commit to a long-term role.
- Positive and flexible mindset, with the ability to build strong relationships with colleagues.
