Hotel Sales Coordinator

Reporting to the Director of Sales and providing administrative support to the Sales team, the incumbent shall be responsible for:

1. Management of group blocks, select reporting, client notification of key dates such as cut-off or payment schedule deadlines, group resumes, event orders, billing details, and other integral administrative aspects of the booking.
2. Producing quotations and written confirmation to clients.
3. Managing and maintaining an accurate and up-to-date client database.
4. Answering telephone calls promptly and in a courteous manner.
5. Handling all messages accurately and clearly to ensure they are communicated to the concerned persons.
6. Understanding fully the hotel amenities, packages, and promotions.
7. Learning and using digital sales systems and conceptual sales processes (i.e., PMS, sales call process, sales call activities) and understanding the hotel’s sales strategies (i.e., rate structure, fees, budgeted goals, etc.). Implementing these tools and resources in order to accomplish job duties efficiently.
8. Coordinating movement of sales team members to know where they are and when they can be reached.
9. Ensuring all incoming requests are responded to in a timely and professional manner to all internal and external customers.
10. Arranging and carrying out site inspections for any walk-in inquiries in the absence of Sales personnel.
11. Performing any other duties assigned from time to time by management.

REQUIREMENTS

1. At least one (1) year of experience in a sales coordinator role in the hotel industry.
2. Excellent communication skills.
3. High level of IT skills including Excel, Word, and PowerPoint.
4. Proactive approach to meeting deadlines and targets.
5. Excellent organizational and administration skills.
6. Proactive team player.
