Head of Operations – Single Family Office, Singapore – PLACED

A newly created Family Office based in Singapore is looking at hiring a Head of Operations to look after the family office’s operations, processes and different projects in Asia (Singapore, Hong-Kong, Malaysia, Japan and Australia).

Position Summary:

This is a highly varied role, where you will be responsible first and foremost of designing and establishing the operational structure of the family office. This is a senior leadership role within a newly established family office with significant philanthropic ambitions. As Head of Operations you will have responsibility for all activities of the family office, excluding investment and legal functions. This will include operations, administration, reporting, HR and IT. You will also be required to manage projects (real estate, luxury assets and philanthropy) across multiple locations in Asia and occasionally required to travel.

Key Responsibilities:

• Provide vision, direction, leadership and supervision to current family office staff to ensure a high quality of service to the principal and her family, particularly with regard to concierge services.
• Manage the family office financial functions, including budgeting, cash management, payment systems, and basic accounting.
• Develop and maintain processes, procedures, controls, technology and systems to promote operational efficiency, accurate record keeping, cost management, reconciliations and client-friendly reporting.
• Lead the engagement with third party service providers, including investment managers, company administrators, technology partners, concierge companies and travel agents.
• Project manage ad hoc family office projects, which currently include property builds in Australia and Japan and property sales in Malaysia.

Skills and Experience:

• The successful candidates naturally will have strong organizational skills, strong Excel and PowerPoint skills, and overall technical & IT capabilities, with a very good understanding of Family Office operating models.
• The successful candidate will be driven with a high EQ and with exceptional attention to details.
• You will be required to manage multiple relationships, so you must be a people person.
• The ideal candidate will come from a multitude of backgrounds. However, experience working for a Single Family Office or a Multi Family Office is required.
• Excellent writing and communications skills.
