Position Overview : The Finance Executive is responsible for ensuring the accuracy and efficiency of financial transactions, sales reconciliation, accounts receivable and payable management, and financial reporting. This role requires meticulous attention to detail and the ability to collaborate with internal and external stakeholders to maintain financial compliance and optimize financial processes.

Key Responsibilities

Financial Transactions & Sales Reconciliation:

  • Check and register sales journal entries and invoice entries for all outlets.
  • Ensure sales are accurately recorded at outlets and reconcile with source documents (e.g., bank-in slips, credit card settlements).
  • Monitor outlets' cash bank-in and liaise with delivery vendors (e.g., Deliveroo, Grab) and credit card vendors for any discrepancies.
  • Register cash receipt entries for various payment modes (Amex, Cash, Wire Card, VM, Deliveroo, Grab, etc.) for each outlet.
  • Prepare monthly outlets' Gross Turnover (GTO) reports for landlord submission.
  • Perform AR bank reconciliation to match cash receipts from outlets' bank-in, delivery vendors, and credit card vendors against vendor statements.
  • Ensure revenue, service charges, and GST tally from the trial balance and POS system.
  • Track outlets' sales voucher submissions, liaise with outlet in-charge for missing details, and coordinate with landlords for reimbursement.
  • Handle accruals, rebates, and adjustments on AR, including delivery charges, sales commissions, discounts, wastage, and marketing vouchers.

Accounts Payable & Expense Management

  • Match purchase orders (P/O) with accounts payable invoices for accurate capture.
  • Register accounts payable (AP) trade and non-trade invoices.
  • Record intercompany billings and charge transactions to related parties.
  • Verify outlets' petty cash claims and personal expense claims.
  • Reconcile vendor statements of accounts (SOA), liaise with suppliers for discrepancies, and monitor aged payables.
  • Prepare payment schedules to ensure timely payments to suppliers/customers, preventing account lockouts or suspensions.
  • Perform AP bank reconciliation by matching payments against vendor statements.

Inventory & Fixed Asset Management

  • Handle month-end inventory adjustments based on outlet-counted quantity and cost allocations.
  • Monitor monthly stock status and trial balance to ensure accurate recording.
  • Register monthly prepayments and accruals and prepare necessary journal adjustments.
  • Maintain the fixed assets register, including asset depreciation and disposal records.

Financial Reporting & Compliance

  • Prepare monthly financial reports, including delivery reports and inventory reports, as per management requirements.
  • Ensure compliance with internal controls and financial policies.
  • Assist in audits and financial reconciliations as needed.
  • Perform ad-hoc tasks assigned by the Manager/ Management.

Qualifications & Requirements

  • Bachelor's degree or Diploma in Accounting, Finance, or a related field.
  • Minimum 3-5 years of experience in finance or accounting, preferably in the F&B industry.
  • Strong knowledge of accounting principles, financial reporting, and reconciliation processes.
  • Experience with ERP systems, POS systems, and financial software (Xero).
  • Proficiency in Microsoft Excel and other financial tools.
  • High attention to detail, strong analytical skills, and the ability to meet deadlines.
  • Strong interpersonal and communication skills to collaborate with cross-functional teams.
  • Ability to handle multiple tasks in a fast-paced environment.
