Responsibilities
- Provide superior customer service to meet on-site client’s expectations – Lead customer and stakeholder engagements.
- Manage the performance and outcomes of assigned staff reporting to the position.
- Maintain interface with internal and external stakeholders ensuring process compliance, accurate and timely reporting, and resolution of critical issues.
- Provide overall facility services in accordance with account’s standard processes and procedures including application of policies and programs, coordination of information.
- Ensure compliance with portfolio-wide initiatives and required local state regulations that pertain to the operating of facilities.
- Manage, coordinate, and exercise functional responsibility for Facility Management services within assigned facilities/site properties.
- Prepare, submit, and manage facility budgets with the clients’ goals and objectives addressed, track variances, and ensure smooth recovery process.
- Support prompt submission of invoices from vendor partners.
People Management
- Responsible for overall team management, staff development, and planning. Execute staff succession and growth plans - Involved in compensation planning process.
- For every direct report, build actionable and measurable career development plans; direct report in consistent conversations regarding progress.
- Maintain an effective command for overall management of staff as per the organizational chart.
Procurement & Vendor Management
- Perform key role in the management of all contractors for the whole of Singapore to ensure they perform to the required standards (including inspection of vendors’ works and liaising/coordinating site works).
- Handle procurement of vendors and services as required from sourcing to awarding.
Finance Management
- Raise purchase requests and process invoices.
- Handle and monitor site budgets.
- Assist in financial processes to ensure that all financial management requirements are completed in a timely and accurate manner.
- Ensure prompt and accurate management of purchase orders in JDE and Coupa.
Health & Safety Management
- Conduct regular audits to ensure safety procedures on site are in place and working.
- Perform spot checks.
- Assist in carrying out safety procedures when needed.
MAC Implementation, Occupancy Monitoring, and Headcount Tracking
- Key support in office launches, move planning, and implementation including stakeholder engagement, internal liaison, and vendor coordination.
- Monitor space occupancy and headcount.
- Implement agile workspace approach.
Site Operations Management
- Assist in the implementation of best practices especially in terms of operations.
- Conduct site inspections and assessments to ensure all building procedures and performance measures are maintained at all times.
- Lead and handle moves from planning to execution until post-move support.
- Seek ways to constantly reduce costs and improve operational standards.
- Maintain premises in neat and good working condition at all times.
Risk Management
- Assist in the implementation and management of property risk management program.
- Support the implementation and monitoring of disaster recovery and business continuity plans.
- Follow established escalation procedures and incident reporting procedures.
- Adhere to Jones Lang LaSalle’s business conduct by ensuring compliance with the firm’s guidelines, procedures, and strategies. Ensure to consistently achieve Key Performance Indicators and Service Level Agreement targets.
- Knowledge of the KPI and SLA, and reporting metrics.
- Flag any process or service achieving low KPI or any deviation from SLAs.
Service Delivery and Program Management
- Lead the team in providing requirements from the Program Management Team.
- Coordinate with Program Management Team for needed support in various initiatives.
