Facilities Admin Assistant (1 year contract/up to $3500)

Job Description:

Responsibilities

  • Organize and schedule meetings (either via Microsoft Teams (MS), arrange beverages and reserve meeting rooms).
  • Take minutes during meetings, ensure accuracies, and disseminate accordingly.
  • Prepare reports and PowerPoint presentations, where required.
  • Assist in budget planning for Facilities and Customer Relations departments.
  • Assist in all tender exercises, e.g., A&A works, redevelopment projects, cleaning services, security services, facility management services, electricity supply conducted, waste water treatment plants.
  • Perform screening of inbound telephone calls and perform outbound calls, where necessary.
  • Receive and check quotations from vendors and business partners.
  • Filing of facilities documents from tenderers, vendors, etc. (projects, tenders, utilities, maintenance, etc).
  • Check CFM for aged bucket cases and send email to prompt the respective managers/executives.
  • Other administrative duties such as vouchers purchase, submission of official company-related claims to Finance, etc.
  • Other duties assigned.

Requirements

  • O/A/Nitec/Dip/Deg with 2-3 years of administration experience
  • Positive, analytical, possess strong problem-solving skills, good oral communication, written and interpersonal skills.
  • 1 year contract with full benefits
  • Able to start work immediately or on short notice
  • 5 days a week, Mon: 8:30 am - 6:30 pm, Tues to Fri: 8:30 am - 6:15 pm
