Export Team Lead (Full Set Documentation Exp is must)
About the role:
Responsible for ensuring that all necessary documents and paperwork are prepared accurately and in a timely manner to facilitate the export of goods. They work closely with internal teams, such as shipping and logistics, as well as external parties, including customers and regulatory authorities, to ensure compliance with all applicable laws and regulations. Develop and implement process improvements to streamline document processing, enhance accuracy, speed, and cost-effectiveness.
Key Responsibilities:
- Document preparation and Compliance management:
- Knowledge & Handling of Pre & Post shipment documents which include commercial invoices, packing list, L/C documents, Importing country certification, Customs/ Insurance declaration Certificate of Origin & many more documents prepared as per customer requirements.
- Stay updated on changing regulations related to international trade and shipping documentation.
- Identify and address potential compliance risks associated with shipping documentation.
- Identify and implement procedures to mitigate potential compliance issues and ensure accurate documentation.
- Coordination with stakeholders, Issue resolution:
- Coordinate with internal teams, such as shipping, logistics ICS, to ensure smooth export processes.
- Communicate with customers and external parties to gather necessary information and resolve any issues or discrepancies.
- Data accuracy, Document recordkeeping and maintenance:
- Maintain accurate digital and physical records and files of all export documentation and related correspondence to prevent delays or customs issues, and periodic document vouching by external auditor.
- Process Re-engineering & Optimization:
- Analyze current export documentation workflows and identify inefficiencies.
- Develop and implement process improvements to streamline document processing, enhance accuracy, speed, and cost-effectiveness.
- Collaborate with IT, logistics, ICS teams to enhance system integrations for export documentation.
- Establish key performance indicators (KPIs) to monitor and improve process effectiveness.
- Team collaboration and training:
- Train and mentor other shipping staff on proper documentation procedures and compliance standards.
- Assist in the development and implementation of policies and procedures.
Requirements:
- Minimum higher diploma or professional certifications.
- At least 5 years of experience in export documentation or related field.
- Experience in process improvement in shipping.
- In-depth knowledge of export regulations and compliance requirements.
- Proficiency in export documentation software and systems.
