MAJOR DUTIES AND RESPONSIBILITIES
To provide sales and administrative support to Commercial Team (CSEs and CSMs), including:
Bridging support between CS & Operations and ensure smooth workflow between various internal departments and Corporate Service for day-to-day client requests including:
Tracking and retrieval of medical reports
Setup appointments to Specialists, Network Clinic and RHS for corporate clients, when required.
Resolves operational problems by coordinating various stakeholders and identifying solutions.
To manage the service level of turnaround time for corporate clients with the operations teams from RM & RH.
Compiling zonal analysis report – clientele listing and verifying using ACRA
Bridging Support between CS, Finance & Operations
To forward all feedback and enquiries to respective Corporate Services Executives (CSEs) for follow-up.
To prepare the weekly meeting agenda and coordinate with all parties who are involved in the meeting.
To participate in department meetings, take meeting minutes and ensure all items in minutes are being followed-up.
Assist in tabulating reports / dashboards for clients and internal management reporting:
To compile monthly and quarterly report for Commercial Director
To update in-house information system and relevant internal parties on any changes in information related with Corporate Clients (company/employee’s details).
Screening tenders for group-wide participation
To develop marketing materials/information from Operations for dissemination to corporate clients.
To develop and revise protocol/workflows to standardize work processes within.
To train and guide Administrative Assistant / Senior Administrative Assistant.
To provide training and induction to new administrative assistants who join the company.
To update Biodata of Corporate Clients.
To assist/participate in On-Site events when required.
To assist in issuing authorization chits to clients when requests are received.
To prepare the contract termination report monthly and do necessary paperwork for termination of contracts.
To disburse petty cash to all CSEs and Managers. To collate all petty cash for reimbursement for finance to process.
To maintain and update CS SharePoint.
To organize and participate in department’s Audit Exercise.
To conduct ad-hoc in-house project development and UAT.
To assist in all ad-hoc administrative matters and support activities of the department.
To update list of clinic locations, contact numbers and opening hours.
To generate client utilization report when required by management.
To compile market intelligence information that are provided by CSEs from time to time.
Any assignments given by the immediate supervisor.
Job Requirements:
Degree in Accountancy / Finance or equivalent.
Minimum 5 years of relevant experience.
