Job description

We are seeking an experienced and highly motivated Executive / Senior Executive, Property Management to oversee the day-to-day management and operations of an iconic mixed-use development. The successful candidate will ensure the seamless operation, maintenance, and value enhancement of the property, while fostering strong stakeholder relationships with tenants, owners, and the Management Corporation.


Key Responsibilities
  1. Tenancy & Lease Administration
    • Serve as the primary point of contact for tenants on lease-related matters and operational concerns.
    • Assist in lease administration, including tracking lease terms, renewals, and documentation.
    • Coordinate unit handover/takeover, conducting pre-move-in and post-move-out inspections.
    • Ensure tenants comply with lease obligations, fit-out guidelines, and building rules.
    • Work with internal teams to address tenancy-related issues, including rent arrears and disputes.
  2. Defects Rectification & Handover Coordination
    • Assist in the management of defects rectification.
    • Coordinate with contractors, consultants, and unit owners/tenants to resolve defect issues efficiently.
    • Conduct joint inspections with stakeholders to verify reported defects and ensure timely rectification.
    • Maintain proper records of defect reports, rectification progress, and completion status.
    • Liaise with the project team and contractors to track rectification timelines and ensure compliance with quality standards.
  3. Property & Facilities Management
    • Support the day-to-day operations and maintenance of the development.
    • Monitor outsourced MCST managing agent and service providers to ensure service quality.
    • Conduct routine inspections of common areas, tenant premises, and facilities to identify and report maintenance issues.
    • Assist in ensuring compliance with workplace safety, fire safety, and sustainability requirements.
  4. Stakeholder & Tenant Relations
    • Liaise between the developer, tenants, and MCST managing agent to ensure seamless communication and issue resolution.
    • Address tenant feedback, complaints, and disputes professionally.
    • Provide support during tenant fit out, ensuring compliance with building guidelines.
    • Assist in organizing tenant engagement initiatives to foster a positive tenant experience.
  5. Financial & Administrative Support
    • Assist in monitoring tenants reinstatement sums, maintenance fees, and arrears.
    • Track tenancy-related financial matters, including operational costs and budget planning.
    • Maintain proper documentation of contracts, agreements, and operational reports.
    • Process owner of Department SOPs.
  6. Risk & Compliance Management
    • Ensure tenants comply with regulatory requirements, including fire safety, building codes, and operational guidelines.
    • Assist in emergency response planning and risk assessments.
    • Work with vendors and authorities to facilitate inspections, permits, and compliance matters.

Requirements
  • Diploma/Degree in Real Estate, Facilities Management, Property Management, or a related field.
  • 2 -5 years of experience in property management, tenancy management, or defects rectification, preferably in a strata-titled mixed-use development.
  • Knowledge of defects rectification processes, tenancy agreements, and lease administration.
  • Understanding of the Building Maintenance & Strata Management Act (BMSMA) is an advantage.
  • Strong coordination and communication skills to handle stakeholders, including tenants, MCST, and contractors.
  • Organized, detail-oriented, and able to multitask in a fast-paced environment.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint).
