About the Job

Are you passionate about creating memorable experiences and bringing ideas to life? Are you a detail-oriented individual with exceptional organisational skills and a flair for creativity? If so, we have an exciting opportunity for you as part of SUSS' Events team. You will play a pivotal role in the planning and execution of a diverse range of key university events. From inception to completion, you will collaborate closely with vendors and internal teams to ensure seamless coordination and flawless execution.

The Events team is part of the Communications and Marketing Department, which sits within the Office of Strategic Partnership and Engagement (SPE). SPE is instrumental in aggregating and coordinating partnerships and collaborations with industry leaders, business communities, organisations, academic institutions and policymakers. It also works closely with internal stakeholders to articulate and drive the University's value proposition and creation that furthers the University's vision and mission.

Key Responsibilities:

Organising Key University Events

  1. As part of the organising team, you will oversee event preparations of key university events (e.g., SUSS Convocation) including sourcing and procurement of logistics, vendor management, communications with stakeholders and event attendees, etc.
  2. Ensure all logistics/procurement are completed on schedule and in accordance to procurement requirements.
  3. Disseminate accurate and timely information to internal and external stakeholders.
  4. Work with all stakeholders to ensure the success of events.
  5. Manage the event team role-based email account and respond to emails in a timely manner.
  6. Maintain and update the event webpage(s).
  7. Facilitate reporting to the team and management on progress of the event.
  8. Work towards achieving event targets and enhancing the University's reputation and branding.
  9. Collate post-event feedback and review work processes to propose improvements for future events.

Supporting Strategic Events

  1. Review event support requests and processes.
  2. Advise organising schools/offices on events management and provide guidance and support on logistics and protocol matters where necessary.

Administrative Support/Others

  1. Support administrative/procurement matters, including, but not limited to, budget preparations, asset management, purchase requisitions and other activities when required.
  2. Support ad-hoc cluster/department activities and events.
  3. Track budget utilization and facilitate reporting.

Job Requirements

  1. At least a diploma or equivalent. Qualifications in event management related discipline would be an advantage.
  2. At least 3 years of relevant working experience in event management. Experience in organising graduation ceremonies or university events would be an advantage.
  3. Proficiency in Microsoft applications.
  4. Outstanding interpersonal and communication skills with cultural sensitivity.
  5. Resourceful, analytical, meticulous with excellent organisational skills.
  6. Strong ability to manage multiple priorities and delivery quality results in a timely manner.
  7. Responsible with a positive and professional working attitude.
  8. Able to work independently and as a team player.
  9. Able to work extended hours when required to support events preparations.
  10. Maintain a code of strict confidentiality with professionalism.
