About the Role
As an Event Executive, you will play a critical role in planning, coordinating, and executing a diverse range of events, conferences, and workshops hosted by LKYSPP. You will work closely with faculty, staff, and external partners to ensure everything runs smoothly from conception to completion.
Job Description
Your role will be pivotal in executing events and publicity campaigns, devising outreach strategies, and being at the forefront when events unfold.
As an Executive, you'll take charge of the entire event lifecycle — from initial planning and budgeting to on-site execution and post-event follow-ups. Your responsibilities will include:
- Event planning and logistics: Assisting with the development of event proposals, budgets, and timelines.
- Venue and vendor management: Sourcing and managing venues, caterers, audio-visual equipment, and other vendors.
- Registration and guest management: Handling participant registration, RSVPs, and communication.
- Speaker and guest liaison: Coordinating travel arrangements, accommodation, and event logistics for speakers and guests.
- On-site event management: Overseeing event setup, breakdown, and operations on the day.
- Post-event evaluation and reporting: Gathering feedback and creating reports to inform future events.
- Marketing and communications: Supporting with event promotion and communication materials.
- General administrative tasks: Providing administrative support to the Events team, including managing travel bookings, expense reports, and other documents.
Qualifications
- Bachelor's degree in event management, business administration, marketing or a related field.
- Ability to handle pressure, multi-task, and work within tight schedules/deadlines.
- Good time management and crisis management skills.
- Calm, resourceful, independent, and vigilant.
- Able to work independently, self-driven, and a strong team player.
- Possess good communication skills.
- Proficient in Microsoft Office applications (especially Excel, Word and PowerPoint).
- Able to perform proofreading, basic copywriting, content summarization, synthesizing and questioning skills preferred.
- Proficiency in Google Analytics and Salesforce CRM system would be preferred.
