Job description:

The Executive Assistant to the Deanery provides administrative and operational support for the Deanery and serves as the secretariat to the Governing Board.

Key Responsibilities

1. Serve as first point of contact for the Deanery and the Conservatory.
2. Monitor YST Conservatory correspondences including phone calls & emails and take necessary action and respond on behalf as appropriate.
3. Arrange travel and detailed travel itineraries for senior management as well as institutional guests.
4. Assist with visitor experience for institutional guests, such as through facilitating guest visits and supporting VIP receptions.
5. Prepare agendas, take minutes and manage logistics for Board meetings.
6. Organize meetings, coordinate staff forums and maintain strong working relationships with academic and administrative teams.
7. Liaise with key stakeholders from the higher music education sector as well as arts industries and institutional partners in Singapore and globally.
8. Coordinate with Artistic Coordinator and Strategic Project Manager on key institutional projects.

Requirements

1. Degree in Music or strong music background.
2. Excellent interpersonal and communication skills.
3. Self-driven, proactive, and able to work both independently and collaboratively.
4. Enthusiasm and warmth of personality whilst maintaining professional discretion.
5. Service-oriented, IT savvy and strong organizational skills with an eye for detail and data.
