About the Role
We are looking for a proactive and highly organized Executive Assistant to support our CEO in executing our operational and strategic priorities. The ideal candidate thrives in a fast-paced environment, is detail-oriented, and effectively utilizes technology to streamline workflows. While the CEO is relatively self-sufficient, this role requires someone who can anticipate needs, manage complex schedules, and provide high-level organizational support seamlessly.
What You Will Do (Key Responsibility Areas (KRAs))
- This role will act as a trusted liaison between the CEO and internal and external stakeholders, operating as the primary point of contact for the CEO handling communications and requests with discretion and sensitivity.
- Organize and optimize the CEO’s schedule, including managing calendar, ensuring efficient scheduling of meetings, events, and travel while prioritizing key commitments and business objectives.
- Coordinate key meetings for CEO, including board meetings, prepare agendas, take notes during meetings (as needed), and follow up on action items to ensure timely execution.
- Draft and prepare correspondence, presentations, and reports; act as a gatekeeper for incoming requests while ensuring clear communication with internal and external stakeholders. Including organisation and management of executive files and documents, ensuring easy access and confidentiality.
- Coordinate travel itineraries with precision using appropriate processes and platforms; ensure seamless logistics for domestic and international trips.
- Support the planning and coordination of company events or offsites involving the CEO; collaborating with the relevant teams, including the Branding & Communications team and managing logistics for speaking engagements or conferences as required.
- Assist in the preparation of quarterly and annual reports, board documents, investor presentations, and other critical documents including conducting research on industry trends, competitors, or other topics as requested by the CEO to support decision-making.
- Expense Management & Time Tracking – Manage time tracking for CEO and expense reports using digital tools; ensure timely submission and reconciliation of expenses. Manage relevant approvals of CEO-1 direct reports as and when formally delegated authority to do so.
- Proactive Problem Solving - Anticipate potential challenges or bottlenecks in the CEO’s workflow and propose solutions before they arise.
What You Will Bring (Skills & Qualifications)
- Bachelor degree in Business Administration or a related field (or equivalent experience).
- At least 5+ years of experience as an Executive Assistant supporting senior executives.
- Highly organized with exceptional time management skills.
- Proactive thinker who anticipates needs without being prompted.
- Comfortable working with a self-reliant leader who values efficiency.
- Adaptable to changing priorities in a dynamic work environment.
- Strong interpersonal skills with the ability to build relationships across all levels of the organization.
