Job description

Key Responsibilities

1. Property Management

  • Oversee the management of family-owned and leased real estate properties, including maintenance, lease agreements, and renovations.
  • Liaise with MCST, contractors, vendors, and tenants for property-related matters.
  • Conduct regular property inspections and ensure timely upkeep.
  • Manage property budgets, expenses, and reports.

2. Family Concierge

  • Coordinate personal and family-related services, including travel arrangements, event planning, and reservations.
  • Handle ad hoc requests related to personal errands, gifting, and lifestyle management.
  • Act as a key point of contact for vendors, service providers, and household staff.

3. Admin and Secretarial Duties

  • Oversee general administrative functions for the family office, ensuring smooth day-to-day operations.
  • Provide executive support to family members, including scheduling meetings, managing calendars, and handling correspondence.
  • Organize and maintain confidential documents, files, and records.
  • Draft reports, meeting minutes, and follow up on action items.
  • Manage regulatory filings, corporate secretarial tasks, and liaise with external advisors (e.g., legal, tax).

Requirements

  • Bachelor’s degree in Business Administration, Real Estate Management, Hospitality, or related field preferred.
  • Minimum 5-8 years of experience in property management, family office administration, executive assistance, or concierge roles.
  • Strong organizational, multitasking, and problem-solving skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and experience with budgeting/administration tools.
  • Discretion and the ability to handle sensitive information confidentially.
  • Prior experience working in a family office or private household is a plus.
  • The job will require 5 days in office, and on-call during weekends.
