Your Job

We are looking for an Executive Assistant to join the team. The Executive Assistant provides high-level administrative support to executives within an organization. This role requires excellent organizational skills, the ability to multitask, and a professional demeanor. The Executive Assistant plays a critical role in ensuring the smooth operation of the executive's day-to-day activities and overall efficiency.

Our Team

You will be reporting to the Vice President of KES, APAC and working very closely with the HR Business Partner.

What You Will Do

  1. Administrative Support: Manage and maintain executive schedules, including meetings, appointments, and travel arrangements.
  2. Communication: Serve as the primary point of contact between executives and internal/external stakeholders.
  3. Coordination: Coordinate and organize meetings, conferences, and events, including preparing agendas, taking minutes, and following up on action items.
  4. Documentation: Prepare, review, and edit various documents, including reports, presentations, and correspondence.
  5. Confidentiality: Handle sensitive information with discretion and maintain a high level of confidentiality.
  6. Financial Tasks: Assist with expense reporting and filing.
  7. Project Management: Support the planning and execution of various projects, ensuring timely completion and adherence to quality standards.
  8. Office Management: Oversee office supplies, equipment, and facilities to ensure a well-organized, efficient work environment.

Who You Are (Basic Qualifications)

  1. Experience as an executive assistant or in a similar administrative role.
  2. Strong organizational and multitasking abilities, with a keen attention to detail.
  3. Ability to anticipate needs, think critically, and provide proactive solutions.
  4. Demonstrated professionalism, with the ability to interact effectively with executives, clients, and team members.
  5. Proficiency in Microsoft Office Suite (Power BI, Word, Excel, PowerPoint, Outlook, Salesforce, TEAMS, SharePoint) and other relevant software applications.
