Job description

Our client is seeking a highly organized and detail-oriented Executive Assistant to join their HR team, providing essential administrative and recruitment support. This role is ideal for a meticulous and proactive individual who enjoys working with multiple stakeholders and managing recruitment documentation efficiently.

Key Responsibilities:

Recruitment Support

  • Collate, verify, and ensure all recruitment documents are duly signed.
  • Organize and maintain candidate documents related to the recruitment process.
  • Facilitate communication for primary source verification and salary-related consent matters.
  • Ensure timely system updates and proper filing of correspondence.

Onboarding Coordination

  • Liaise with internal and external stakeholders to schedule pre-employment medical check-ups.
  • Send welcome emails to new hires on their first day.

Recruitment Data Management

  • Maintain accurate recruitment tracking files and consolidate hiring data.
  • Compile monthly recruitment and manpower reports.
  • Provide logistical support for department projects such as engagement sessions and Total Performance Management (TPM).
  • Coordinate meeting room bookings, event reminders, and arrange refreshments.

Requirements:

  • Training will be provided for entry level candidates.
  • Diploma in Human Resources, Business Administration, or a related field.
  • Candidates with prior experience in HR will be considered for more senior appointment.
  • Strong attention to detail and ability to maintain confidentiality.
  • Proficiency in Microsoft Office Suite (Excel, Word, SharePoint).
  • Highly organized, proactive, and able to multitask in a fast-paced environment.
