Support the main Executive Assistant to ensure smooth operation of the International Business Office (IBO) administrative functions.
Assist in booking travel arrangements, including flights, accommodation, and transportation.
Support the application process for Visas for the IBO team. Liaise with travel agencies, embassies, and other group companies to confirm the latest Visa requirements for travel designations.
Support the Executive Assistant to manage IBO team’s calendars.
Manage official communications, including calls and emails. Act as point of contact between internal and external stakeholders.
Assist in planning and organizing both internal and external meetings and events. Ensure timely communication and preparation with all relevant parties.
Assist in reconciling and verifying the IBO team’s travel and entertainment claims in accordance with the Company’s business expense policy. This includes preparing travel requisition and submission of claims via our system.
Organize and maintain records, files, and documents relating to IBO administration.
Assist in drafting and reviewing memos, letters, and other correspondence.
Ensure confidentiality and accuracy in handling sensitive information.
Take detailed meeting minutes.
Perform administrative duties and any other duties assigned by the Executive Assistant.
Perform any other ad-hoc duties assigned.
Requirements :
At least 3-5 years’ relevant work experience.
Chinese proficiency for liaising with Chinese-speaking counterparts.
