Job Type: Part-Time (2-3 days per week, with availability outside working hours, when needed)

Position Overview
We are seeking a proactive and highly organized Executive Assistant to provide administrative and HR support on a part-time basis. This role is ideal for someone with prior experience in administration and human resources who can manage multiple tasks efficiently and respond to ad-hoc requests outside regular working hours when needed.

As an Executive Assistant, you will work closely with the team to ensure the smooth operation of daily tasks, assist with HR-related functions, and support the management team with administrative duties. The successful candidate will demonstrate strong communication skills, attention to detail, and a high level of flexibility. Proficiency in both English and Mandarin is essential for effective communication.

Key Responsibilities

  • Administrative Support: Manage and organize calendars, meetings, and appointments. Handle correspondence, including emails, phone calls, and other communication in both English and Mandarin. Maintain and update office files and records. Coordinate travel arrangements and manage related logistics.
  • HR Assistance: Assist with recruitment processes, including scheduling interviews, coordinating candidate communications, and preparing onboarding documentation. Maintain employee records, ensuring compliance with HR policies and procedures. Assist with payroll processing and related administrative tasks. Support in employee engagement initiatives and communication.
  • Ad-Hoc Support: Provide general assistance with various administrative and HR tasks as needed. Be available outside standard working hours for urgent or unexpected requests.
  • Miscellaneous: Assist in organizing events, meetings, and team-building activities. Support with office inventory and supply management.

Requirements

  • Proven experience as an Executive Assistant, Administrative Assistant, or in a similar role, ideally with HR exposure.
  • Excellent organizational and multitasking skills.
  • Strong written and verbal communication skills in both English and Mandarin.
  • Ability to work independently with minimal supervision.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint).
  • Familiarity with HR processes and software is a plus.
  • Reliable internet access and availability outside of regular working hours to handle urgent matters.
  • High level of confidentiality and professionalism.
  • Detail-oriented with a proactive approach to problem-solving.
